We have a fantastic opportunity for a People Coordinator on a 12 month fixed-term contract at our London Office. The People Coordinator will provide a quality, comprehensive and efficient HR coordination service to all stakeholders, which is in line with HR strategy and overall business objectives. Support and improve team processes and procedures to create a harmonious and successful HR team. Key Responsibilities
- Deliver a professional, compliant and timely HR service to internal and external stakeholders, acting as the first point of contact, including management and delegation of the HR inbox. Provide advice to the business on routine HR matters such as payroll, onboarding or referencing queries.
- Support with the background checks of all new employees, ensuring that those who fall under Senior Managers & Certification Regime are vetted in line with FCA/PRA and AlRayan Bank requirements. Maintain relationships with external background check suppliers and be aware of upcoming renewals and any regulatory changes.
- Provide admin and coordination support for the HR team, with ownership of administration processes for HR activity including onboarding, payroll and benefits, and leavers, the updating of the HR system and Benefits Portal and BAU HR administration. Provide support for regular internal and external audit activities.
- Create contracts and offer letters for new starters and generally manage the onboarding process. Work with relevant teams and ensure that new starters have the best possible onboarding, that the Bank can be proud of. This includes consistently updating onboarding forms to stay in line with changing HR policies and regulations.
- Maintain relationships with external benefits providers and work closely with them to ensure the Bank's benefit offerings are successful and suited to the business's needs. Organise benefits-related events and communications across the Bank when necessary.
- Responsibility for ensuring the Learning and Management System (LMS) is kept up to date and accurate. Report any incomplete employee learning modules to the relevant People Partners and Head of People. Work with Head of People to plan and coordinate the Bank's regulatory training, as well as manage and organise ad hoc training courses from other parts of the business. Manage the training needs of the Bank and assist with booking these. Also support and organise the Company Induction, to make sure the day runs smoothly and the information is up to date.
- Assist with payroll: do a comprehensive and in-depth check of monthly payroll reports and have regular meetings with the external payroll company, revisiting the past month and consistently looking for ways to improve the process.
- Work alongside the People Partners to manage sickness and absence, including ensuring our policies and data systems are up to date.
- Encourage the company culture, engaging in groups such as the Wellbeing Group, the Mental Health First Aiders and the Women's Networking Group, helping to support organisation of these and other activities and events. Be an advocate for the company's positive culture at all times.
- Carry out DSE assessments and be a fire marshall.
Qualifications & Experience
- Administration experience, ideally gained within financial services.
- An up-to-date understanding of the basics of employment law, particularly relating to contracts of employment.
- Competent in the use of Microsoft Office, particularly Word and Excel.

- Excellent oral and written communication, facilitation skills and ability to present confidently and to work effectively with staff and management at all levels.

- Excellent attention to detail and accuracy, including proofreading skills, ensuring reliability at all times and commitment to producing high quality and professional work.
- Ability to cope with and prioritise a heavy workload whilst maintaining accuracy and meeting deadlines in a calm, proficient manner and projecting a professional image at all times.
