We're looking for a highly organised and proactive Scheduling Administrator (12 month fixed term contract) to join our team, working from our offices in Basingstoke. This is a key role that ensures our surveyor team can operate at their best, providing timely and reliable service to clients.
About the Role
The Scheduling Administrator is responsible for scheduling appointments for our surveyor team, coordinating diaries, and communicating with clients to ensure everything runs smoothly. You'll use your organisational skills and practical problem-solving ability to optimise surveyor schedules and help deliver a seamless client experience.
Key Responsibilities
- Coordinate and schedule appointments by telephone for surveyors, taking into account travel time and visit duration.
- Maintain an organised calendar for each surveyor, ensuring their time is used efficiently.
- Communicate with clients and surveyors to confirm appointments and resolve any scheduling conflicts.
- Monitor and adjust schedules to accommodate changes, cancellations, or unforeseen circumstances.
- Provide excellent customer service, addressing client needs and resolving appointment-related issues.
- Generate and maintain reports on appointment statistics, cancellations, and no-shows to support process improvements.
- Work collaboratively with other team members and departments to support smooth operations and effective communication.
Skills & Qualifications
- Excellent telephone communication skills with the confidence to manage a high volume of calls daily.
- Strong organisational skills with a keen attention to detail.
- Ability to manage multiple tasks independently and effectively.
- Proficiency in scheduling software and Microsoft Office Suite.
- Previous experience in scheduling or administrative roles is preferred.
- Practical and solutions-focused approach to time management.
- Strong interpersonal skills and ability to build positive working relationships.
