This role provides essential administrative and coordination support to senior leaders, helping to maintain an organised, professional, and well-connected operation.

This is a junior to mid-level position suited to someone who is organised, resourceful, discreet, and confident managing multiple priorities in a fast-paced environment.

What Will You Do?

Key Responsibilities

Executive & Administrative Support

  • Provide day-to-day administrative and coordination support to senior leaders, ensuring smooth and organised operations.
  • Manage diary scheduling, travel bookings, and meeting logistics — including room bookings, agendas, and follow-up actions.
  • Support the organisation of team events, workshops, and offsites by coordinating logistics and preparing supporting materials.
  • Process expenses, raise purchase orders, and support basic budget tracking where required.
  • Assist with maintaining team systems, files, trackers, and administrative processes to help improve efficiency.
  • Handle confidential information with care, discretion, and professionalism at all times.

Operational Coordination

  • Act as a key point of contact for internal and external stakeholders on behalf of the Executive Office.
  • Support the coordination and communication of updates, actions, and information between leadership teams and wider business groups.
  • Assist with preparing meeting packs, basic documentation, and organisational materials.
  • Ensure smooth workflow across the Executive Office and other functions.

Process & Systems Support

  • Maintain and update internal documentation, schedules, and shared information systems.
  • Contribute to process improvement initiatives aimed at enhancing team organisation and efficiency.
  • Support onboarding administration for new joiners within the leadership function (meeting coordination, IT setup liaison, welcome documentation).

Relationship Management

  • Build strong working relationships across the organisation and with external partners.
  • Represent the Executive Office in a warm, professional, and brand-aligned manner.
  • Support cross-functional collaboration to ensure timely completion of actions and priorities.
The Ideal Candidate:
  • Experience as a Team Administrator, Office Assistant, or similar junior/mid-level support role.
  • Strong organisational skills with the ability to multitask and prioritise effectively.
  • Confident communicator with strong written and verbal communication skills.
  • Good working knowledge of Microsoft Office (Outlook, Excel, PowerPoint, Teams).
  • High level of accuracy and strong attention to detail.
  • Discreet, trustworthy, and able to handle sensitive information appropriately.
  • Positive, proactive, and solutions-focused approach.
  • Calm, resilient, and adaptable in a fast-paced environment.

Desirable

  • Experience supporting senior leaders or busy teams in a dynamic business.
  • Background in beauty, retail, luxury, wellness, or fast-paced consumer brands.
  • Experience coordinating events or workshops.
