Job Purpose:
This role plays a critical role in ensuring accurate, compliant, and timely payroll processing across the UK and our European and Middle East offices. It supports the delivery of seamless payroll operations for a diverse international workforce, aligning with local legislation, company policies, and global standards. With a strong focus on continuous improvement and future-readiness, the specialist will contribute to the evolution of payroll practices, systems, and governance, supporting the team's strategic shift toward automation, data-driven insights, and enhanced employee experience.
Working closely with internal stakeholders, external providers, and cross-functional teams, the specialist will help shape a resilient and scalable payroll function that supports business growth, regulatory change, and evolving workforce needs across the region.
Key Responsibilities:
- Execute and oversee payroll processing for all entities, ensuring accuracy and adherence to statutory requirements.
- Maintain up-to-date knowledge of payroll legislation across relevant jurisdictions and implement necessary changes to ensure ongoing compliance.
- Coordinate with external payroll providers and internal teams (HR, Finance, Legal) to ensure seamless payroll delivery and issue resolution.
- Assist in onboarding new countries or entities into the payroll framework, including system setup, testing, and process documentation.
- Identify and implement opportunities to streamline payroll operations, reduce manual tasks, and enhance system efficiency with a willingness to embrace change, contribute to digital transformation, and support the evolution of payroll practices in a dynamic international environment.
- Ensure payroll data is accurate, complete, and securely maintained, supporting internal controls and audit requirements.
- Assist with mobility and tax matters to manage payroll for cross-border employees, including impatriates and expatriates.
- Generate regular and ad hoc payroll reports and insights to support compliance, financial planning, and strategic decision-making.
- Contribute to payroll-related projects such as system upgrades, policy harmonisation, and future-of-work initiatives.
- Act as a key contact for payroll queries, delivering responsive and empathetic support to employees across the region.
Performance Objectives:
- Deliver 100% accurate payroll across UK and other international entities, meeting all deadlines and statutory submission requirements.
- Maintain full compliance with local payroll legislation and internal controls, with zero audit findings or penalties.
- Identify and implement process improvements or automation initiatives annually that reduce manual effort or increase data accuracy.
- Stay current with payroll legislation and trends and actively contribute to team knowledge sharing and capability development.
- Successfully contribute to or lead payroll-related projects (e.g. system upgrades, country transitions) within agreed timelines and scope.
- Support the team's strategic transformation goals by contributing to initiatives that enhance agility, scalability, and digital readiness.
Skills and Experience Specification:
Essential:
- Minimum of 3 years experience managing end-to-end payroll processes across multiple European jurisdictions, including the UK.
- In-depth understanding of statutory requirements, tax regulations, and social security systems in relevant countries.
- Excellent communication skills, with a professional approach to, and delivery of work
- Demonstrated ability to manage and collaborate with external payroll providers, ensuring service quality and compliance.
- Strong organisation and prioritisation skills
- Ability to resolve issues demonstrating a good analysis of the options and sound judgment when making decisions
- Showing initiative and proactivity by seeking and suggesting improvements to processes
- Excellent team working skills as well as the ability to work autonomously
- Good Excel and reporting skills
Desirable:
- Experience of using Workday HCM
- Experience of working in the Insurance or Financial Services sector
- Experience supporting or leading payroll-related projects, such as system implementations, process improvements, or country transitions.
- Vendor Management
- Ability to speak a second European language.
