Document Control Coordinator

Next Geosolutions is seeking a
Document Control Coordinator (DCC)
to support our expanding operations. The ideal candidate will oversee document control activities across multiple projects, ensuring accuracy, compliance, and timely submission of documentation deliverables.
Key Responsibilities
Provide day-to-day technical supervision and guidance to the Document Control Team to ensure compliance, on-time submission, quality, and proper handling of project documentation.
Monitor team workload and identify potential imbalances.
• Recommend resource reallocation to the Document Manager.
• Once approved, coordinate with Project Managers (PMs) to ensure smooth transition and handover of tasks.
On new contract awards:
• Review client document management specifications.
• Ensure correct implementation of required standards and templates within the project document management system.
Ensure timely handover and continuity of documentation activities during scheduled absences or leave.
• Highlight anticipated workload challenges and propose mitigation plans for approval.
Define internal distribution lists based on project communication matrices and ensure Document Controllers are correctly trained on usage.
Agree weekly issuance schedules for Document Timing Review Registers with the Document Manager and ensure timely delivery by assigned Document Controllers.
Ensure Document Controllers attend weekly/monthly project or Client document control meetings when required.
• Report any escalations, complaints, or performance concerns to the Document Manager.
Notify Document Manager and PMs of any technical issues impacting document management (e.g., client portal downtime, server outages) and support temporary solutions to maintain continuity.
For projects requiring periodic progress reporting (weekly/monthly):
• Ensure Document Controllers prepare reporting templates in a timely manner, monitor team inputs, and manage on-time submission of the full report.
Qualifications & Skills
Experience in Document Control roles within engineering / survey / offshore / oil and gas
Strong understanding of document control systems, workflows, and client specifications
Excellent organisational & communication skills
Advanced skills in MS excel, word, power point mandatory
