This role encompasses three main elements, to oversee the expenses submitted via our SAP Concur system, administer employee benefits for our starters and leavers, and support our Payroll Lead where required with the monthly payroll reconciliations of both our company entities.

Duties and Responsibilities will include:

  • Review and reconcile high-volume claims against policy and receipts.
  • Ensure claims comply with the company policies, query discrepancies, return non-compliant claims, and prepare monthly payment files.
  • Maintain SAP Concur profiles for joiners/leavers and permission changes.
  • Update payroll records for starters, leavers, contractual changes, and allowances/deductions.
  • Assist with monthly payroll preparation and checks across both entities, including reconciliations and variance follow-up.
  • Monitor the Payroll & Benefits mailbox, answer first-line queries, and escalate where needed.

About this role

  • You will be responsible for checking and reconciling a high volume of employee expense claims submitted through our SAP Concur system. You will ensure all claims are processed under the correct codes and the VAT is calculated correctly. You will also help manage the platform with adding new joiners, removing leavers and posting cost journals in line with the payroll cut off date.
  • We partner with a third-party benefits broker which you will work very closely with to ensure new joiners are added to the correct healthcare schemes, and leavers are removed.
  • The ad hoc payroll duties with help assist processing the monthly payroll for over 1000 employees for Workman LLP and Workman Facilities Management.
  • This is a full-time position, based at our Guildford office where our agile working policy requires you to work from the office a minimum of three days a week. This is initially a three-month fixed term contract.

What matters most in this role

  • Accuracy and attention to detail is crucial in this role. You will be processing accurate payments, ensuring all expense claims are complaint with the in-force Expense Policy with VAT is accounted for correctly.
  • Your ability to develop and maintain effective working relationships with internal teams and stakeholders is essential. The delivery of clear communication and accurate advice is very important.
  • You will work closely with the HR team to determine critical changes to the payroll including adding new starters, calculating final deductions and payments for leavers, and make any ad hoc payments such as bonuses.

  • Manage personal and sensitive data in a professional manner and according to GDPR and other company policies.
  • Strong attention to detail and accuracy.
  • Solid Excel skills (pivot tables, lookups); experience with SAP Concur is preferred.
  • Ability to work with strict deadlines.
  • A disciplined approach to controls, approvals, GDPR, and audit readiness.
  • Hands-on payroll experience in a medium/large organisation, multi-entity exposure is an advantage.
  • Clear, professional communication, able to explain payroll/benefits matters to employees and managers.
