In this varied and rewarding role, you'll oversee both operational activities and strategic facilities processes, ensuring our estate is safe, compliant, and efficiently managed. Your responsibilities will include, but not be limited to:
Facilities & Maintenance Management- Leading and managing reactive and planned maintenance tickets through the CAFM system
- Ensuring timely updates, accurate record-keeping, and full compliance documentation
- Acting as a key liaison with site teams, contractors, and finance colleagues
- Supporting the Facilities Manager by maintaining and coordinating the Facilities Calendar
- Mentoring and supporting Facilities Hub team members
- Promoting a collaborative, solutions-led working culture
- Producing reports to support compliance monitoring, performance tracking, and operational planning
- Monitoring and updating compliance dashboards to meet statutory and regulatory obligations
- Overseeing the daily management of approximately 40 privately owned rental properties
- Managing end-to-end tenancy processes including advertising, agreements, move-ins, check-outs, and deposit returns
- Coordinating maintenance, repairs, and refurbishments across properties
- Ensuring all properties meet relevant legislative and safety standards
- Maintaining accurate records for tenancies, inspections, and property performance
- Raising purchase orders and managing purchasing activities in line with departmental procedures
- Reconciling invoices against purchase orders and ensuring accurate financial tracking and reporting
You'll be a confident, organised, and proactive professional with the ability to manage fast-moving operations while keeping an eye on the detail. You'll enjoy solving problems, building strong relationships, and leading by example.
We're looking for someone who:
- Has experience in facilities coordination, property management, or a similar operational role
- Strong working knowledge of tenancy agreements and regulatory compliance requirements across residential and corporate portfolio properties.
- Experience raising purchase orders, reconciling invoices, and supporting procurement processes
- Is highly organised with exceptional attention to detail and record-keeping
- Has strong communication and interpersonal skills
- Brings a proactive, solutions-focused approach to problem solving
- Is confident using digital systems (CAFM experience is highly desirable)
- Has experience overseeing contractors, maintenance processes, or tenancy management
- Holds a full UK driving licence and access to a vehicle (if required for site visits)
