Administration Assistant – Temporary Traffic Management

Job Summary
We are seeking a highly organized and proactive Administration Assistant to support our Temporary Traffic Management (TTM) team. The ideal candidate will have previous experience in Street Works and handling Council Applications for traffic management projects. You will be responsible for ensuring the smooth administration of traffic management plans and supporting the team in coordinating with local authorities. This role demands excellent organizational skills, attention to detail, and a strong understanding of regulatory requirements.
Key Responsibilities:
- Administrative Support:
- Assist the TTM team with daily administrative tasks, including managing emails, phone inquiries, and maintaining documentation.
- Prepare, submit, and monitor Street Works notices and Council Applications for road closures, diversions, and traffic restrictions.
- Coordinate with local authorities, utility companies, and contractors to ensure compliance with traffic and roadworks regulations.
- Data Management:
- Maintain and update accurate records of Street Works applications, traffic management plans, and project documentation.
- Ensure timely updates to internal systems and databases, including project timelines and permit status.
- Prepare reports and summaries of ongoing applications for internal and external use.
- Scheduling and Coordination:
- Assist in scheduling meetings, site visits, and project timelines in coordination with local councils and traffic authorities.
- Ensure that all required permits, licenses, and approvals are obtained in advance of project deadlines.
- Liaise with contractors and third parties to ensure the smooth execution of traffic management operations.
- Document Control:
- Oversee the preparation, submission, and storage of documents in accordance with company policies and legal requirements.
- Manage and track deadlines for renewing or updating Street Works permits and Council approvals.
- Ensure compliance with health and safety guidelines by maintaining appropriate records and documentation.
- Communication:
- Act as a key point of contact for Council and Street Works application inquiries, both internal and external.
- Provide timely updates on the status of applications to project managers, contractors, and stakeholders.
- Facilitate communication between the TTM team and local authorities to resolve any issues related to traffic management plans or permits.
- General Office Duties:
- Perform routine office tasks such as ordering supplies, managing office equipment, and assisting with administrative needs across departments.
- Support the team with ad-hoc projects and tasks as assigned.
Qualifications and Skills:
- Proven experience in an administrative role, preferably within Temporary Traffic Management, Street Works, or a related field such as plant hire experience is essential.
- Direct experience with Street Works Notices, Permits, and Council Applications is desirable
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organisational and multitasking abilities with high attention to detail.
- Ability to work both independently and as part of a team.
- Familiarity with traffic management plans, safety regulations, and compliance standards.
Working Conditions:
- Full-time position with standard business hours, though occasional flexibility may be required Monday to Friday
Qualifications:
- Minimum of 2 years of administrative experience
- Proficiency in , Microsoft Office
- Strong organizational skills and attention to detail
- Excellent phone etiquette and communication skills
- Ability to perform data entry accurately and efficiently
- Clerical experience preferred
Job Type: Full-time
Pay: From £12.21 per hour
Expected hours: 37.5 per week
