Product Conformance Specialist
GENERAL PURPOSEProvides general administrative departmental support by performing clerical duties of a moderate technical complexity. Activities may also include providing clerical and/or coordinating support for special projects and activities in support of department objectives of moderate complexity. In conducting activities, interacts with internal and external contacts to effectively deal with daily and project related objectives.
ESSENTIAL FUNCTIONS
- Adopts procedures, processes and techniques to meet the more complex requirements of the position.
- Collaborates with team to write and maintain process documentation.
- Collaborates with test lab, including communicating and documenting product issues.
- Collects and stores product information required for assessments.
- Coordinates team effort to maintain conformance to standards by running weekly meeting, reporting status to management, writing test requests, and affirming the correct steps in the process are being followed.
- Frequently reviews technical reports.
- Interacts with suppliers to obtain compliance documentation.
- Maintains confidential department information/files and appropriate records.
- Maintains customer facing product performance documents.
- Maintains log of customer inquiries.
- Occasionally assists test lab in identifying and labelling physical products for testing.
- Occasionally maintains test request system data.
- Oversees various projects and objectives as described in performance plan.
- Processes ad-hoc written and verbal requests for information/data from internal department customers and external contacts that are of a more complex nature.
- Professionally handles communications including resolving routine and complex inquiries, redirecting messages or direct callers to another party as needed.
- Records statistics related to a process, including cost.
- Sends out routine written and verbal communications to internal and external customers in support of department objectives and activities.
- Stores documents in appropriate directories.
- Tracks Regulatory invoices for payment status and record detail. Creates reports to be used for annual budget planning.
- Trains suppliers on compliance requirements as necessary.
- Performs additional responsibilities as requested to achieve business objectives.
Qualifications

Technical/Vocational Associate's Degree (such as in Mathematics, Science) or equivalent experience.
-OR- 3-5 years previous clerical experience in a technical field.
Skills and Abilities- Excellent communication, interpersonal, and organizational skills.
- Proven ability to follow-up and perform with minimum supervision.
- Demonstrated ability to handle confidential information.
- Demonstrated ability to effectively use office automation/communication software and tools currently being used in the HMI office environment.
- Demonstrated ability to rely on experience and judgment to plan and accomplish assigned tasks and goals.
- Strong time management, multitasking and process management skills.
- Customer service focused.
- Demonstrated ability to follow documented processes.
- Demonstrated ability to embrace change in an evolving work environment.
- Demonstrated ability to communicate technical information effectively to people with various levels of technical knowledge.
- Good technical writing skills.
- Experience writing and reviewing formal technical reports preferred.
- Must be able to perform all essential functions of the position with or without accommodations.
