Job Summary

This is a varied and interesting role to be an Administrator within this not-for-profit student housing organisation. We mostly house international postgraduate students in our six buildings across Central and East London. We need an excellent organised Administrator to support out students and our office team.

Line Manager: Head of Finance and HR

Location: South Kensington (we may relocate to another Central London location next year)

Duties

  1. To take phone calls and respond to emails from our student tenants across all buildings that we manage, including requests for repairs and prospective tenants seeking new accommodation along with other general enquiries

  2. To set up new tenancies including issuing tenancy agreements, setting up Direct Debits and handling all documentation

  3. To handle the exit process for students leaving our accommodation including communicating regarding bills, departure dates and monitoring the process of preparing empty flats for future tenants

  4. To handle tenancy renewals and monitor of the end of tenancies and to ensure we have up to date evidence of student status for all tenants

  5. To maintain utility company records

  6. To handle council tax matters

  7. To raise repair orders on our systems and manage a list of outstanding repairs for the Maintenance team to carry out, and close completed jobs

  8. To manage lost property and postal systems across our buildings

  9. To post adverts for vacant flats on our website and liaise with our marketing people as required

  10. To take minutes at board meetings, committee meetings and staff meetings.

  11. Prepare statistics for board reports

  12. Carry out an annual tenant satisfaction survey and other surveys such as post-repair

  13. Keep out student tenancy database and all records up to date. Scan legacy tenancy documents.

  14. Ensure we comply with GDPR and Data Protection laws

  15. Ensure we are compliant with student housing and tenancy laws

  16. Maintain records of complaints and manage our compliance with the Housing Ombudsman including regular returns and preparing documents about complaints for board

  17. Maintain our list of empty flats and monitor our turnover

  18. Maintain our HMO registrations

  19. Maintain our ANUK compliance

  20. To develop documentation for all processes

  21. Support the CEO and Head of Finance and HR as required

Requirements

  1. Must have at least two years' experience in student accommodation

  2. Organised and efficient with attention to detail

  3. Excellent communication skills – comfortable on the phone and on email

  4. Highly competent with Microsoft Outlook, Work, Excel and PowerPoint

  5. Strong English language skills

  6. Experience of finance system, particularly Xero, would be helpful but not required.

  7. Spanish and other language skills would be helpful but not required

Job Type: Full-time

Pay: £32,000.00 per year
