Location: Leeds, LS12
Job Type: Full-time, Permanent
Hours: Monday to Friday, 9:00am to 5:00pm
Salary: £25,000 to £30,000 per year, depending on experience
About the Role
We are expanding our operations and require a Sales Operations Specialist to manage quoting, order processing, procurement, and customer communication. You will be responsible for keeping the full order lifecycle running smoothly, from quote creation to supplier PO management and final delivery coordination.
Key Responsibilities
- Prepare and issue customer quotations through Shopify and Zoho CRM
- Answer inbound calls and support customers with product, order, and delivery queries
- Raise purchase orders to the related suppliers
- Manage fulfilment tasks in Zoho Inventory, including pick lists and shipment updates
- Track orders, monitor courier movements, and resolve delivery issues
- Maintain accurate system records and support weekly reporting
- Coordinate internally with warehouse, logistics, and sales teams to ensure timely throughput
Skills & Experience
- Experience in sales operations, procurement, order processing, or customer support (preferred)
- Strong communication skills with a confident and professional phone manner
- Excellent attention to detail and ability to manage multiple tasks in parallel
- Good working knowledge of cloud-based systems such as Shopify, Zoho CRM, Zoho Inventory, and Excel
- Able to work at pace in a fast-moving commercial environment
Core Responsibilities
Sales Support & Quotation Management
- Prepare, format, and send customer quotations using Shopify, Zoho CRM, and internal tools
- Validate pricing, margin thresholds, live stock availability, and promotional structures
- Respond to customer enquiries via email and phone in a timely, professional manner
- Support sales in converting open and abandoned quotations through structured follow-ups
- Maintain an active pipeline of pending quotes and send updates when prices, stock, or ETAs change
Order Processing & Procurement
- Raise purchase orders (POs) with major UK distributors and negotiate.
- Ensure all POs are accurate with correct SKUs, quantities, delivery instructions, and negotiated pricing
- Track supplier confirmations, allocations, shortages, and backorder risks
- Manage Zoho Inventory processes: order creation, pick lists, packing, shipment planning
- Resolve stock conflicts, delivery issues, or price discrepancies quickly
Customer Communication & Call Handling
- Answer inbound calls and provide confident, solution-focused support
- Communicate order status updates, delivery ETAs, alternative options, and stock changes
- Log support cases in Zoho Desk and escalate to technical support when required
- Manage expectations professionally, especially in high-value or time-critical projects
Logistics & Fulfilment Coordination
- Work with couriers and warehouse teams to ensure dispatch accuracy
- Monitor tracking numbers, delivery attempts, and exceptions
- Flag any late deliveries, missing items, or damage claims and support the formal resolution process
- Prepare commercial invoices, packing lists, and customer documentation when required
Operational Governance & Reporting
- Maintain clean and consistent data across all systems
- Support weekly operational reporting, including quote-to-order conversions, pending orders, and supplier delays
- Identify inefficiencies in the sales operations process and recommend improvements
- Maintain compliance with company procedures and customer SLAs
