Context
We are seeking an
Assistant Project Manager
to join our growing PMO team within Consultancy. This role is ideal for someone looking to develop their career in project management, with opportunities to support the delivery of projects, contribute to portfolio management, and gain hands-on experience with project systems such as IFS. The successful candidate will be organised, proactive, and eager to learn, playing a key role in supporting our high-performance team.
Missions/Main Duties
Working in collaboration with our PMO colleagues and consultants in the business your key duties are:
- Project Ownership: accountable for small to medium sized projects
- Support project coordination: Assist the project management team with scheduling, tracking progress, and ensuring tasks are completed on time.
- Prepare reporting materials: Help compile monthly reports and performance documents under guidance, ensuring accuracy and timely submission.
- Portfolio support: Maintain records and assist with monitoring project portfolios, escalating issues to senior staff when needed.
- Bidding and procurement assistance: Provide administrative support during bidding and procurement processes, such as gathering documents and tracking deadlines.
- Record keeping and audits: Keep project files organised and support audit preparation by maintaining accurate documentation.
- Reporting support: Contribute to internal and external reporting by collating data and drafting sections for review by senior managers.
- Stakeholder communication: Help maintain good relationships with external parties by coordinating meetings, preparing notes, and following up on actions.
- PMO collaboration: Work alongside the integrated project team, supporting communication between client-facing staff and back-office functions.
- Budget and cost tracking support: Assist in reviewing cost data provided by the project controls team, flagging discrepancies for senior review.
- Risk and change monitoring: Support the commercial team by tracking risks, changes, and opportunities, ensuring updates are logged correctly.
- Reporting: Accountable for monthly Reporting for designated sectors which is robust, accurate.
- Involvement in bidding and procurement
- Learning & Development: Develop knowledge of project management methodologies and SYSTRA PMO procedures
- Systems & Tools : Support data entry and reporting in IFS and other project management systems.
Profile/Skills
Essential
- Strong organisational skills with attention to detail.
- Clear and professional communication skills (written and verbal).
- Ability to manage multiple tasks and prioritise effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Willingness to learn project management tools and methodologies.
- Flexibility to travel and adapt working hours to meet project demands.
Desirable
- Exposure to project management in consultancy, engineering, or transport sectors.
- Familiarity with ERP/project management systems (IFS experience advantageous).
- Understanding of project governance, risk management, or portfolio management.
- Working towards or interest in project management qualifications (APM, PRINCE2).
- Experience in stakeholder engagement or client-facing roles.
