Finance Administrator

Equans is looking for a Finance Administrator to join our team in based at the Queen Elizabeth Hospital, Birmingham on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
Reporting to the Helpdesk and Admin Manager, you will provide a high-quality administration and create invoice reports for our clients and be responsible for the production of sales invoices.
What will you deliver?
- Ordering/Receipting Tasks: Lead the ordering/receipting tasks for QEHB site, including raising purchase orders, receipting services, and invoice matching on Coupa.
- Liaison with Subcontractors and SSC: Liaise with Subcontractors and the Shared Service Centre (SSC) to keep unpaid invoices to a minimum.
- Work Orders Management: Manage work orders on Maximo & SAP.
- Aged WIP Management: Manage Aged WIP and keep it to a minimum.
- Purchase Cards Administration: Lead the administration of purchase cards for QEHB personnel.
- Scheduling: Schedule meetings and appointments.
- Stationery and Equipment: Order stationery and equipment.
- HR Partnership: Partner with HR to update and maintain office policies as necessary.
- Office Operations: Organise office operations and procedures.
- IT Coordination: Coordinate with the IT department on all office equipment.
- Invoicing: Ensure that all items are invoiced and paid on time.
- Visitor Support: Provide general support to visitors.
- Employee Queries: Address employees' queries regarding office management issues (e.g., stationery, hardware, and travel arrangements).
- Facility Management Vendors: Liaise with facility management vendors, including cleaning, catering, and security services.
- Organisational Skills: Demonstrate strong organizational and planning skills in a fast-paced environment.
- Creativity: Exhibit a creative mind with the ability to suggest improvements.

Who are you?
- Comprehensive Administrative experience in a busy office environment.
- NHS/Hospital experience would be an advantage.
- Experience working in a Project role.
- Educated to GCSE standard
- Proficient use of Microsoft Office applications including Word, Excel and Outlook.
- Demonstrate good team working.
- Awareness of Confidentiality.
- Reliable.
This role includes a Standard DBS check therefore ability to pass is essential.
