Provide clerical and administrative support to the Children and Young People’s Mental Health Service (CYPMH East). Highly organised, professional, and committed. Full responsibility for a comprehensive, confidential, high‑quality secretarial and administrative service to support the CYPMH East management team. Act as an effective gatekeeper; excellent negotiation, diplomacy and interpersonal skills. Knowledge of all relevant administrative and secretarial procedures. Handle non‑routine activities. Daily contact with a wide range of internal and external stakeholders. Confident, team‑player, complet‑finisher with strong communication and eye for detail. Maintain confidentiality. Main Duties of the Job Hold an understanding of the managers’ strategic objectives and priorities to support their delivery. Analyse facts or situations and decide on the most appropriate action, using judgement to resolve difficult situations. Screen phone calls and email correspondence addressed to the manager, establish validity and priority, take action where appropriate, and flag urgent matters. Manage the manager’s diary, making decisions about appointment requests using independent judgement. Flexible working to cover sickness and annual leave. Work independently and manage workload with support from the team and CYPMH East management. Ordering through procurement, including purchase orders, office supplies and stationery. Ensure data is provided efficiently and presented meaningfully. Support the Service’s electronic patient record system: attend meetings and capture and resolve issues at individual, team and service level. Maintain accurate e‑rostering for staff, anticipating monthly sign‑off by managers. Record staff sickness for local records and sickness management. Develop detailed understanding of the IAPTUS system and run reports as needed.
