Position Client Accounts Assistant Hours of Work 9:00am to 5:30pm Benefits Package C - General Location West Croydon Division B-hive Property Solutions (CF) Qualification Level Maths and English at GCSE (A-C) or equivalent Main Responsibilities Ensure that service charges are accounted for in accordance with the RICS Code of Practice, ARMA-Q rules, Accounting regulations and other HML best practices. This includes but is not limited to the accurate and timely issue of service charge accounts (within 6 months of the year end and issuance of section 20b notices where applicable) and statutory accounting and taxation affairs. Prepare and reconcile the information on PMS, including entering the year end adjustments, reserve fund transfers and checking the expenditure, ready for the accounts admin team to prepare the year end audit packs. Deal with queries from the property managers, accountants and our clients, ensuring that these are responded to within 3 working days. Liaise with the property managers and external auditors via email, over the phone and in person to obtain approval of the year end service charge accounts within 6 months of the year end date and company accounts within 9 months of the year end date. Prepare the year end balancing service charge surplus/deficit calculation, input the year end balancing amount and raise credit notes/manual demands as appropriate. Assist in the preparation of Section 20b notices within the 6 month deadline, including the draft expenditure and providing to the Client Accounting Manager/Client Accountant for approval. Update the control sheet on a daily basis and ensure that the information is accurate. Assist with any additional adhoc accounting or administrative task if stipulated by the Client Accountant or Client Accounting Manager. Personal Requirements Understanding of all HML Processes, Practices and Ethos Well-developed interpersonal and oral communications skills Interpersonal skills and customer focused Strong organisational skills Ability to work on own initiative Ability to work as a team player Good numerical skills Diplomacy Ability to prioritise critical workload and work under pressure and strict time frames Experience in the property management industry would be a bonus but is not essential Randstad CPE values diversity and promotes equality.
