Department: Level39 Reporting to: Senior Manager – Operations Job Summary The Events Associate role is a new position created to support the Events Manager in driving event sales and ensuring seamless operations. This is an excellent opportunity for someone looking to develop their organisational, sales, and business development skills in a fast‑paced, dynamic environment. In this role, you will work closely with the Events Manager to manage bookings for Level39’s venues, handle new business enquiries, and nurture strong relationships with existing clients, helping deliver exceptional experiences for every event. Level39’s venues host a wide range of events, including conferences, networking sessions, award ceremonies, exhibitions and product launches. Compensation Salary: £28,000 – £31,000 per annum. Main Responsibilities Respond to event booking enquiries via email, telephone, and in‑person, providing timely and professional assistance. Co‑coordinate enquiries to achieve maximum room hire occupancy and sales, ensuring the events diary is accurately maintained. Support the end‑to‑end event booking process, from initial enquiry through to contract completion, invoicing, and payment collection. Manage guest lists for events and upload details to the visitor management platform. Maintain and update the booking system and function sheets, ensuring accurate client information and event details. Assist the Events Manager with event logistics, liaising with clients, internal departments, and external contractors to ensure seamless delivery. Support the coordination of special events for Level39 customers, including the annual Christmas Party, Summer Party and curated in‑house events throughout the year. Work closely with the onsite catering team, requesting quotes, confirming bookings, and managing related invoicing. Undertake additional duties or projects as required to support the Events team and business objectives. PERSON SPECIFICATION An interest in building a career in event management. Relevant experience in a customer experience role and / or events coordination is desirable. Excellent communicator with strong verbal and written skills. Proactive approach to undertaking responsibilities. Familiarity with event booking systems, CRM software, and Microsoft Office. Ability & confidence to facilitate events, build rapport & maintain relationships with events clients. Able to work under pressure and meet tight deadlines. A resourceful team player who enjoys building trusting relationships with colleagues and customers. Sales or business development experience related to event services. Ability to work autonomously and manage projects/tasks through their lifecycle to completion. Prepared to work flexibly, including out‑of‑hours attendance of events where needed.
