Summary:
We are seeking six Facilities Co-Ordinators to join our team as soon as possible. This full-time role involves working Monday to Friday, 8:00am to 5:00pm, with a one-hour unpaid lunch break, totalling 40 hours per week. The successful candidates will provide essential administrative and operational support to the facilities management function, ensuring smooth day-to-day running of site services. Key duties include coordinating contractors, managing helpdesk operations, maintaining accurate records, and supporting health and safety compliance. Candidates should have solid administrative experience or some entry-level exposure to Computer-Aided Facilities Management (CAFM) systems, ideally Maximo. A background or knowledge of helpdesk operations is beneficial. The role requires strong organisational skills, attention to detail, and the ability to communicate effectively with internal teams and external suppliers. This position is paid via PAYE and interviews will be conducted via Microsoft Teams.
Key Responsibilities:
Coordinate and support daily facilities management activities on site
Manage contractor engagement and ensure compliance with site standards
Operate and maintain helpdesk systems, logging and tracking maintenance requests
Assist with the administration and use of CAFM systems, ideally Maximo
Maintain accurate records and documentation related to facilities operations
Liaise with internal teams and external suppliers to ensure timely resolution of issues
Support health and safety compliance and site inspections as required
Provide general administrative support including Microsoft Office tasks
Skills:
Basic DBS check (required)
Solid administrative experience or entry-level exposure to CAFM systems
Knowledge or background in helpdesk operations
Experience with CAFM systems, ideally Maximo
Proficient in Microsoft Office, including Excel and Outlook
Strong organisational and multitasking abilities
Excellent verbal and written communication skills
Ability to work independently and as part of a team
Attention to detail and problem-solving skills
Time management and prioritisation skills
Software/Tools:
CAFM systems (Maximo preferred)
Microsoft Office Suite (Excel, Outlook, Word)
Certifications & Standards:
Basic DBS clearance (required)
