Outpatients Administrator – Your Office Toronto We are seeking highly motivated individuals to join our friendly Outpatient administration team to deliver first‑class customer service to patients and provide comprehensive administrative support across Lewisham Hospital, Queen Elizabeth Hospital, Bexleyheath and Greenwich Community sites. NOTE: We are unable to offer sponsorship for this post. Main Responsibilities Assist in all administrative duties required to ensure a full outpatient service in the reception, call centre and booking teams. Provide a courteous reception service, greet patients and visitors in a pleasant professional manner. Answer and manage telephone calls, email inquiries and attend to patient queries promptly, meeting Outpatient Call Centre KPIs. Process appointment requests, book, cancel and reschedule appointments in line with Trust PAS systems and Access Policy. Maintain patient demographics, referrals and waiting lists in compliance with RTT national targets. Carry out patient check‑in/out, document outcomes and ensure clinic cash‑up at the end of each day. Coordinate with clinicians, other healthcare professionals and service managers on patient referrals, referral issues and service capacity. Assist in the induction and training of new and temporary staff, support PDR process. Maintain confidentiality, adhere to data protection, book interpreter services where required and keep accurate records in the Trust systems. Participate in call reviews and monitoring, attend team meetings, contribute to service improvement and maintain required stock levels. Essential Experience & Qualifications Good basic educational background; GCSE English and Maths or equivalent. NVQ Level 3 in a related subject (e.g., healthcare, customer service, business administration) or equivalent experience. Customer service experience or equivalent work experience. Computer literacy, keyboard skills, willingness to develop computer skills; working to deadlines and targets. Understanding of NHS or hospital environments preferred; knowledge of PAS, call centre or switchboard experience beneficial. Excellent verbal and written communication, ability to prioritise, take responsibility for own work, flexible approach to working hours, respect for confidentiality, ability to deal with sensitive issues. Team‑player, innovative, demonstrates ability to plan and coordinate work. Desirable ECDL certification. IT qualifications, experience in Access Database/Excel spreadsheets, call centre or switchboard experience. Knowledge of PAS and experience with switchboard or call centre. Strong planning and coordination skills, evidence of interacting with a wide range of people. Contract Details Permanent, full‑time, band 3. Salary £24,937 to £26,598 per annum (pro‑rata if part‑time). Rotational working pattern 0800‑1800 Monday to Friday.
