We are looking for a compassionate, motivated and proactive Part‑Time Administration Assistant/Receptionist to be the first point of contact for residents, visitors and healthcare professionals, ensuring that everyone who walks through our doors receives a warm and efficient service. The Admin Assistant/Receptionist will support both Reception and Administration tasks including handling calls, dealing with general enquiries and supporting with a variety of different general office tasks. This role is key to helping our service run smoothly and ensuring everyone feels welcomed and supported. The post‑holder will bring a caring approach, professionalism, respect for confidentiality and a commitment to providing excellent customer service. This role is ideal for someone who genuinely cares about people and is confident interacting with a wide range of individuals. Working Hours & Shift Pattern This is a part‑time position working 4 days per week. We are happy to be flexible with the specific weekdays you work and will consider other alternative suggestions, as long as they support the needs of the service. Weekend working cannot be adjusted. Our current shift pattern is as follows: Week 1: 4 weekdays (preferably Monday, Tuesday, Thursday and Friday) Week 2: 2 weekdays (preferably Monday and Tuesday) and 2 weekend days (Saturday and Sunday) Why Join Us? Be the first point of contact for visitors and third parties contacting the Centre, offering outstanding customer service, warmly welcoming visitors and providing refreshments. Ensuring all enquiries are dealt with professionally and effectively, with information redirected and handled accordingly. Handling incoming calls and emails professionally and confidently. Coordinating and facilitating site visits for potential residents and their families. Supporting the Business Administrator and other team members with daily administration tasks. Ensuring reception and waiting areas are tidy, welcoming, and compliant with health and safety standards. What We Are Looking For Experience as a Receptionist, Administrator or in another customer‑facing role. Confident in managing enquiries both by phone and in person, and comfortable engaging with a diverse range of callers and visitors. Competent and comfortable with general computer use, especially Microsoft Outlook, Word and Excel. Excellent attention to detail, highly organised, proactive and willing to adapt to the needs of a growing service. Ability to maintain confidentiality and handle sensitive information appropriately. Warm, empathetic and comfortable supporting residents and visitors during sensitive moments. Flexible, cooperative and able to work collaboratively with all teams within the service. Capable of working independently for longer periods of time.
