This 37.5 hour role of Clinical Office Administrator will provide administrative support within the main unit. Candidates are required to have a high level of organisational skills and to communicate effectively with a wide range of healthcare professionals, patients and their relatives. Main duties The post holder will provide a comprehensive support administrative service to the nursing colleagues, their medical team and administrative colleagues. They will organise their workload with the nursing team and coordinate activities with the Chemotherapy Co‑ordinator to ensure an efficient service. The role requires initiative and strict confidentiality at all times. Job responsibilities Support the Haematology Day unit team Man the reception area, answer phone calls promptly and direct messages to appropriate staff Welcome patients at reception and direct them to their allocated bay or chair Admit and discharge patients and book appointments using Cerner Use Evolve for documentation after appropriate training Book patient transport using EMED services Order pathology supplies and refreshments from the kitchen department Perform general office duties including filing, photocopying and ordering stationery within agreed limits Sort, distribute and prioritise incoming post, passing documents to consultants or other areas as appropriate Exercise independent judgement and initiative to resolve problems or refer to the appropriate person Implement relevant Trust and Directorate policies on behalf of the nursing team Maintain effective communication within the Trust, with GPs and patients Deal with enquiries by letter, email or telephone from patients, GPs, other hospitals and consultants Action results of clinical investigations within procedural guidelines Establish good communication and liaison with secretaries, medical staff and other departments Work as part of a team and assist with training new and temporary staff, including guiding new clinicians with dictation equipment Co‑operate fully in the introduction of new technology and methods of working as appropriate Continuously develop knowledge of new trends and improve competence through self‑development Adhere to strict deadlines and demonstrate understanding and reassurance when dealing with patients and relatives Undertake all mandatory training required by the Trust Perform any other duties relevant to the above tasks Person Specification – Qualifications GCSC Maths and English Person Specification – Knowledge Trust vision, values and strategic objectives Good range of administrative procedures Person Specification – Experience Previous admin experience Experience working in a busy day unit and dealing with conflicting demands Competent in using Cerner for admission and discharge Transport booking using EMED Answer phone calls and pick up messages Good communication skills Competent in using Evolve for filing documents Excellent IT skills, including Microsoft Office Experience in NHS environment (desirable) Disclosure and Barring Service Check This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and will require a submission for Disclosure to the Disclosure and Barring Service (formerly CRB) to check for any previous convictions.
