Office Attendance: 2 days per week mandatory; training may require up to 4 days per week. First impressions count and our team has a key role in setting the high standard of service that our clients expect of Irwin Mitchell. As part of the team, you’ll work with clients and colleagues to successfully onboard our clients. The Client Onboarding Department provides a centralised client and matter onboarding service to fee earners. As a Client Onboarding Advisor, you’ll set up client matters on Irwin Mitchell’s systems, conduct basic client due diligence and conflict checks, and set up client documentation. You’ll work with colleagues within the Department and the legal services areas to work through any client due diligence or conflict flags that you may come across. Key Responsibilities Client Setup: Use the firm’s matter inception systems and information from fee earners, review, gather missing information, and process essential client and matter information to ensure new clients and matters are opened timely and efficiently. Engage with fee earners (at all levels) and clients to obtain information to enable compliant onboarding. Client Documentation: Ensure all necessary documentation related to client onboarding is completed accurately and timely. Prepare draft letters of engagement, terms and conditions, and other relevant documents depending on the matter type, adding these to the client file for fee earner review. Client Due Diligence: Conduct simple client due diligence checks on clients and/or their matters per internal policies using E-IDV and CDD software. Identify any potential risks and develop a good understanding of the legal and regulatory requirements for financial crime prevention. Conflict Checks: Complete basic conflict checks via the 3e matter inception systems, ensuring analysis is documented and in accordance with policies. Identify risks and, where relevant, escalating promptly. Communication and Customer Focus: Communicate effectively and provide excellent customer service. Liaise with internal stakeholders (partners, fee earners, and support teams) to gather information and resolve issues during onboarding. Continuous Improvement: Make recommendations to Team Leader on process improvements and develop themes with colleagues as part of day‑to‑day activities. Required Skills & Experience Excellent written and verbal communication skills at all levels with strong grammar and punctuation. Accuracy and attention to detail. Professional telephone and face‑to‑face manner. Ability to work under pressure, both within a team and individually. Excellent organisational skills, with capacity to organise and prioritise workload. IT Skills (Microsoft Outlook, Word, Adobe). Desirable Basic understanding of legal and regulatory requirements within a law firm relating to client due diligence and/or conflicts. Experience working with international clients. Previous experience in a similar role within a law firm or professional services environment. Knowledge and understanding of case management systems.
