Outpatients Booking Clerk (Band 3) Organisation: North Bristol NHS Trust Location: Bristol, England, United Kingdom Job Overview Provide a comprehensive booking service for the Centralised Outpatient Services booking team. Responsibilities include booking new patients, managing waiting lists, rescheduling appointments, and supporting Outpatient Call Handlers. Detailed Job Description and Main Responsibilities Manage waiting lists and offer appointment dates within agreed timescales. liaise with line manager and speciality leads regarding booking issues. Participate in weekly scheduling meetings with appropriate data. Ensure the first available date is offered taking into account cancellations. Record and adhere to RTT pathway guidelines accurately. Notify patients of appointment date and time by telephone where possible. Send appropriate paperwork to patients in a timely manner. Respond promptly to clinic cancellations, contacting patients by telephone and offering a new date. Update clinic guidelines for each speciality and maintain accurate booking data. Adhere to the Trust patient Access Policy at all times. Monitor eReferrals lists regularly as per department process. Be flexible to alter shifts for cover and duty due to annual leave or sickness. Proactively redesign and pilot new processes. Maintain high quality in own work and encourage others to do the same. Gather, analyse and report performance data using spreadsheets. Access, appraise and apply knowledge and information. Support the Outpatient validator with performance reports and spreadsheets. Perform call centre duties during high demand and on rota for cover. Contribute to personal development and attend mandatory training. Carry out additional duties as appropriate to the grading of the post. Person Specification Work Experience Experience working as part of a team in a multi‑disciplinary environment. Experience of waiting list management. Desirable Criteria Knowledge of patient pathway. Skills, Abilities, Knowledge Develop good working relationships with team, colleagues and clinical staff. Ability to work to tight deadlines. Excellent written and verbal communication skills. Education and Training Good general education including GCSE in Maths or English (or equivalent). Advanced keyboard and computer skills (Microsoft Office). Personal Qualities Flexible to meet service needs. Ability to act under direction from senior members of the team. Additional Information Successful candidates will normally commence at the minimum scale unless they have previous NHS service at the same band. Progression through the scale is by annual increments.
