The Opportunity As the Global Mobility Operations Specialist you will play a crucial role in supporting operational efficiency by managing administrative tasks, maintaining essential records, and documenting processes. Responsibilities include creating and maintaining assignment letters, balance sheets, cost estimates, and compliance evaluations, as well as handling tax and payroll records. You will assist with one-off requests such as reporting to ensure smooth team operations. You will also focus on streamlining GM processes to enhance efficiency, reduce complexity, improve service delivery, and update local processes into global processes. This position reports to the Global Mobility Specialist within the HR Global Mobility team. This position is based in London, UK. Hybrid Working — We recognise work/life balance and offer hybrid work with the flexibility to work from home. Hybrid work from certain locations may be permitted in line with Astellas’ Responsible Flexibility Guidelines. Key Responsibilities Providing support to the Global Mobility team in preparing documentation required for tax, social security, and immigration compliance. Assisting with tax return processes, monthly payroll activities, and annual payroll events such as Short-Term Incentives (STI), Long-Term Incentives (LTI), share plans, and merit increases. Generating and sharing reports from the Global Assignment Management System and monitoring/updating the system as required. Creating assignment package documents such as Assignment Letter, Balance Sheet and Cost Estimate. Ensuring prompt payment of invoices, keeping records, raising purchase orders and flagging discrepancies with relevant parties. Supporting project-related administrative tasks. Delivering Global Mobility BAU processes and administrative tasks and collaborating with team members to document Global Mobility processes. Essential Knowledge & Experience Strong numeracy and Excel skills. Highly organized and able to prioritise workload to meet deadlines. Preferred Experience Fluency in Japanese is highly desirable. Previous Global Mobility/HR experience. An understanding of the assignment lifecycle and typical assignment pay structures. Exposure to monthly assignee payroll processes. Experience with an assignment management system or HRIS. Additional Information This is a permanent full-time position. This position is based in the UK. Role follows our hybrid working model; requires a blend of home and at least 1 day per quarter in the local office. Flexibility may be required in line with business needs. Candidates must be located within a commutable distance of the office.
