We are a fast-growing property compliance business seeking a highly organised, proactive and experienced Operations & Executive Support Manager. This is a senior hybrid role supporting the CEO directly while overseeing internal operations, workflows and team performance.The ideal candidate will have experience working closely with a high-level CEO, founder or senior executive, and will be confident managing operations, people and processes in a fast-paced environment.Key ResponsibilitiesExecutive SupportAct as the CEO’s trusted support across business and operational mattersManage diary, scheduling, priorities and communication flowPrepare information, track actions and ensure deadlines are metLiaise with solicitors, agents and external stakeholders on business and property mattersHandle confidential information professionally and with discretionEnsure the CEO remains organised, focused and informedAnticipate needs and proactively support day-to-day decision-makingKPI, SLA & Performance ManagementMonitor KPIs and SLAs daily/weeklyIdentify performance issues early and elevate where neededProduce weekly operational performance reportsEnsure workflow standards and turnaround times are consistently maintainedWorkflow & Operational OversightOversee the complete order-to-delivery workflowImprove turnaround times, accuracy and customer experienceCoordinate with field technicians, subcontractors and administrative staffIdentify operational bottlenecks and implement improvementsEnsure all jobs, reports and client communications are completed correctlyPeople Support & Team ManagementOversee the internal admin team, scheduler(s) and field techniciansSupport team members in their development and day-to-day deliveryManage workload distribution and hold staff accountableHandle minor HR and team communication matters professionallyHR & Compliance DocumentationMaintain a full suite of HR documents, onboarding packs and internal policiesEnsure compliance documentation (e.g., Safe Systems of Work, RAMS) is accurate and up to dateKeep all employee records well organised and compliantFinance & Administrative SupportChase unpaid invoices and outstanding quotesProvide light-touch bookkeeping support (expenses, reconciliations and finance admin)Maintain accurate financial records and support the accountant when requiredPay subcontractor invoices and arrange client refundsCreate, maintain and improve Standard Operating Procedures across the businessDocument process flows and ensure consistency in deliveryLead internal improvement projects such as onboarding enhancements, workflow optimisation and documentation upgradesProactively introduce better systems, tools and methods to increase efficiencyProject ManagementSupport the CEO with business and property-related projectsEnsure projects progress with clear actions, deadlines and updatesCoordinate between internal teams, suppliers and external stakeholdersRequired Skills & ExperienceExperience supporting a senior CEO, founder or high-level executiveHighly organised with exceptional attention to detailPrevious experience in an Operations Manager, Executive Assistant, Office Manager or similar hybrid roleStrong understanding of workflow management, KPIs and process improvementExcellent written and spoken EnglishConfident managing small teams and holding others accountableStrong problem-solving and multi-tasking abilityProfessional judgement and discretion when handling confidential mattersLight-touch bookkeeping experience preferred but not essentialWhat We OfferA senior, trusted position supporting the CEO directlyOffice-based role with flexible hours when neededGenuine influence over how the business operates day to dayClear progression into senior operational leadershipA performance-based bonus scheme available after probationA supportive and ambitious environment with real responsibility #J-18808-Ljbffr
