Job Purpose To manage the administrative aspects of the Colposcopy Service across the Trust and the small team of administrative staff employed within it, ensuring a comprehensive and user‑friendly service that meets the recognised national standards for colposcopy. Key Responsibilities Ensure complete and accurate patient activity data is collected, entered, and reports are produced in a timely manner. Lead on identifying suitable capacity when required and maintain an up‑to‑date overview of capacity requirements, liaising with relevant consultants to instigate service needs. Act as point of contact for GPs and consultants referring patients, ensuring appointments are offered promptly and within time limits set by National Colposcopy Standards. Ensure results and any subsequent appointments are issued in a timely and appropriate manner. Initiate actions to address adverse trends in colposcopy waiting times and capacity to meet Trust targets. Maintain the Trust’s Colposcopy Database System, implementing system changes in partnership with the I.T. Department and system manufacturers. Produce quarterly reports on patient activity statistics for the Trust and for commissioners, and provide reports as required to national bodies including the Royal College of Obstetrics and Gynaecology and the National Audit Office. Design and audit reports to monitor key performance indicators and present them to the department. Coordinate data collection for medical and nursing staff undertaking clinical audits in colposcopy. Coordinate and minute‑take at multi‑disciplinary team meetings. Attend local, regional and national meetings, study days and training courses as required, and feed back relevant issues to service staff. Provide operational support at service level and work closely with external organisations to promote a positive image of the service. Assist the Clinical Lead for Colposcopy and the Nurse Colposcopist in planning future service developments or changes. Investigate complaints in relation to the service and implement changes required in accordance with Trust Policies. Review procedures, systems and staffing to reflect long‑term aims in service delivery. Coordinate the direct referral system, highlighting potential issues where necessary. Handle and provide complex and sensitive information for invasive cancer cases, ensuring the appropriate clinical pathway is facilitated. Communicate aspects of the service to patients, explaining procedures and providing reassurance. Ensure new colposcopy staff, including medical staff, are trained in the colposcopy IT systems. Assist nurses in completing invasive cancer audit administration requirements. Develop specialist knowledge relevant to colposcopy to aid in filtering enquiries. Collate, verify and submit KC65 data for the Department of Health on a quarterly basis. Compile administrative evidence for Quality Assurance visits. Develop and implement internal procedures in order to adhere to national guidelines. Operate the failsafe system within the department, according to failsafe policies and national guidelines. Organise departmental meetings, including provision of agenda, minutes and appropriate documentation for action/review. Provide line management to a team of administrative and secretarial staff, ensuring effective deployment and efficient service delivery.
