Ward Administrator – Evening Ward Clerk Salary: £24,465 per annum pro rataWorking pattern: 25 hours per week (Mon–Fri: 4pm–9pm)Location: George Eliot Hospital, College Street, Nuneaton, CV10 7DJClosing Date: 12 December 2025Employment type: Permanent (Part‑time) Job Summary We are seeking a highly organised, multilingual, reliable and adaptable Ward Administrator – Evening Ward Clerk to provide clear, efficient, and professional administrative support to the Nursing, Medical and Surgical teams. The role ensures accurate record‑keeping, patient data management, and effective communication with internal and external stakeholders to ensure seamless nursing workflow and high quality patient care. Key Responsibilities Maintain up‑to‑date patient notes and file all documents in line with the Trust Medical Records Policy. Provide a professional clerical service to the nursing, medical and surgical teams. Communicate with internal and external professional bodies (e.g., NHS trusts, Commonwealth Coroner, Police, District Nurses, Allied Healthcare Professionals). Handle patient enquiries over the telephone and in person, relaying accurate information to patients and their families. Make appointments and coordinate transport for patients on discharge. Lead ward requisitions and manage ward stationery and general tidiness. Photocopy information for the nursing team and maintain accurate records in the Patient Administration System (Lorenzo). Arrange for early notification of discharges/deaths to GP and related paperwork. Book staff training and manage post distribution. Prepare and fax correspondence. Observe Trust policies on case note segregation and tracking, bereavement procedures and medical coding. Assist in processing new and change of admission of patients. Ensure timely distribution of post, mail and communication for the multidisciplinary team. Relationships Internal: Nursing staff, Consultants, Junior doctors, A&E clerical staff, Call Centre, Outpatient reception, Patient Services, PAS/RA Team, PALS, Medical Records Team. External: GP surgery staff, other NHS trust staff. Special Requirements Ability to cope working in a busy clinical environment. Occasional flexible hours if required to support the Administration Manager. Physical ability to lift boxes of case notes, paper and operate relevant equipment. Qualifications and Experience Essential: Office environment experience, dealing with the public, NHS administration experience, priority and workload management, keyboard/typing skills. Desirable: Leading a team, knowledge of PAS systems, good standard of education, GCSE English. Person Specification – Essential Good organisational and multi‑tasking skills. Excellent communication and interpersonal skills. Professional response and attitude.
