The primary duty of the Administrative Assistant is to provide support to manager(s) in an assigned functional department and/or organization by performing various administrative and clerical tasks. You will work closely under the direction of assigned management and other team members to ensure smooth daily operations and efficient workflow. Your attention to detail, organizational skills, and ability to handle multiple responsibilities will contribute to the overall success of the office. Key Responsibilities: Administrative Support: Assist with general administrative tasks such as managing calendars, scheduling meetings, making travel arrangements, and organizing appointments. Prepare correspondence, reports, and presentations as needed. Handle confidential information with discretion. Communication Management: Serve as a primary point of contact for internal and external stakeholders. Screen and direct phone calls and/or emails, taking accurate messages and relaying important information in a timely manner. Respond to inquiries and provide information to staff, clients, and vendors. Document Management & Correspondence: Create, edit, and format documents, including letters, memos, spreadsheets, and presentations. Maintain electronic and physical filing systems, ensuring documents are organized and easily accessible. Assist with document distribution, tracking, and archiving as necessary. Meeting Coordination: Schedule and coordinate meetings, including booking conference rooms, sending invitations, preparing meeting materials, and taking minutes. Ensure all necessary resources and equipment are available and functioning properly. Office Organization: Maintain a clean and organized office environment. Order and manage office supplies, monitor inventory levels, and submit purchase requests as needed. Coordinate maintenance and repairs for office equipment and facilities. Data Entry and Reporting: Input and update data in various systems and databases accurately and efficiently, as required. Assist in assembling and submitting expense reports for assigned leaders. Event Coordination: Assist in organizing company events, such as conferences, workshops, or team-building activities. Coordinate logistics, including venue selection, catering, transportation, and guest accommodations. Coordinate and assist with room set up and breakdown. Team Collaboration: Collaborate with colleagues and provide support. Foster positive working relationships and contribute to a cooperative and productive team environment. Assist in office space onboarding of new employees, if required. Backup Support: Proactively provide backup support to the other members of the administrative team as necessary. Skills and Qualifications: Required: High school diploma or equivalent 4+ years’ experience in a progressively responsible administrative support role Proficiency as an administrative assistant or in a similar role, demonstrating strong organizational and multitasking skills Proficient in using office software applications (e.g., Microsoft Office Suite, etc.) and office equipment (e.g., printers, scanners) Excellent written and verbal communication skills, with a keen attention to detail Ability to handle sensitive information with confidentiality and discretion Strong time management skills, with the ability to prioritize tasks and meet deadlines Problem-solving and decision-making abilities, with a proactive and resourceful approach Ability to work both independently and collaboratively in a fast-paced environment Strong interpersonal skills and a professional, friendly demeanour Adaptability and flexibility to handle changing priorities and responsibilities Desired: Certification or training in administration or hospitality Prior experience supporting senior management staff members Prior banking and/or financial institution knowledge and/or experience If you thrive in a high-energy, entrepreneurial environment, we invite you to share your passion, ideas and excitement at nCino. nCino provides equal employment opportunities to all employees and applicants for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, age, protected veteran status, disability, genetics or other protected groups.
