We are looking for an efficient and experienced administrator to supportthe South Hams Mental Health Team at Leatside Surgery. We are seeking an enthusiastic and experienced administrator withexcellent IT, communication, organisational and management skills. Working in partnership with the Clinical Team Manager and clinicalcolleagues we welcome applications from individuals who can demonstrate acommitment to delivering high quality administration and leadership skills,with excellent IT, communication and office management in an efficient andtimely manner. This is a part time role, working 22.5 hours a week, we are flexiblearound the days and times worked, however, we do require the successfulcandidate to work Mondays and preferably Fridays. Enquiries are welcome. Main duties of the job Lead and manage theadministrative team, ensuring efficient and effective work flow responding todemand. Support the Team Managers indaily administrative tasks and strategic planning. Advocate for and lead the team,fostering a collaborative and supportive work environment. Ensure all administrativeprocesses meet the high standards and values of the trust. Utilise IT and office systems,including System 1 and Microsoft Office - MS Excel, Word, Teams and Outlook areessential. Maintain accurate records andensure data integrity Provide excellent customerservice and support to patients and staff. Develop and implement officemanagement procedures to improve efficiency. Person Specification Knowledge and Skills * Intermediate IT skills in Microsoft Office Packages i.e. Word, Excel, PowerPoint and Outlook * Working knowledge of a range of administrative procedures including diary management and arranging appointments * Experience or understanding of creating electronic records, electronic filing systems * Electronic database management * Ability to manage diverse workload whilst dealing with frequent interruptions * Ability to meet deadlines and to work under pressure * Exceptional organisational skills and ability to prioritise * Ability to work both independently and as part of a team * Ability to provide a high standard of secretarial support for meetings e.g. organising, booking venues and minute taking * Knowledge of our business and how it supports patient care * Experience in dealing with people in distress in a calm and confident manner * Willingness to embrace new ways of working/changes * Knowledge or experience of e-rostering and procurement systems and policies Experience * Experience of managing a team of administration staff * Ability to prioritise workload and adapt to change when required * Experience of dealing with confidential and complex information * Ability to work accurately, under pressure and to deadlines * Excellent organisational skills * Previous experience of working within an administrative or secretarial team * Ability to take accurate formal and informal minutes * Demonstrate good numeracy and literacy skills * Experience of general office routines and filing systems * Previous NHS experience of working in a Healthcare or Social Care administrative setting Qualifications * Level 4 Diploma in Business Administration or equivalent qualification or experience * GCSE English & Maths or equivalent * Evidence of continuing professional and personal development * ICDL (International Computer Driving License), or equivalent experience * knowledge or experience of the NHS Mental Health Service Disclosure and Barring Service Check This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions. £27,485 to £30,162 a yearpro rata (22.5 hours per week) #J-18808-Ljbffr
