Closing Date: 17 December 2025 Role This is an exciting opportunity for a highly motivated administrator to join the Multiple Long-Term Conditions Cross-NIHR Collaboration (MLTC CNC), co‑chaired by Professor Avan Aihie Sayer, Director of the NIHR Newcastle Biomedical Research Centre and William Leech Professor of Geriatric Medicine. Funded by the National Institute for Health and Social Care Research (NIHR), the Cross NIHR Collaboration (CNC) is a new unique initiative designed to make it easier for researchers to look at MLTC and ultimately improve the lives of people living with MLTC. Hosted by Newcastle University and delivered in partnership with Leicester University, the MLTC CNC aims to bring together the NIHR’s translational, applied and policy research infrastructure to identify common research priorities and work together to tackle key questions in MLTC research. You will work with, and under the direction of, the Collaborations Programme Manager to support the effective delivery of MLTC CNC programme activity and the activity of its workstreams. You will provide administrative support for a diverse range of activities, such as organising internal and external meetings, booking travel and processing expenses and collating information for the preparation of reports. You will work closely with the central MLTC CNC team and a range of researchers, both in Newcastle and across the other collaborating centres. You will also be a member of the AGE Research Group, led by Prof Avan Aihie Sayer and Professor Rachel Cooper and will work to support the activity of the wider group as required. The post is available full‑time or part‑time fixed‑term basis until November 2027, please state your desired working arrangements in your application. Provide administrative support to the MTLC CNC and AGE Research Group as required, including in relation to travel arrangements, booking accommodation, conducting investigations, drafting correspondence, reports, letters, proposals and presentations. Develop, implement and maintain effective office procedures and systems to ensure that support is efficient, timely and accurate and meets time and budget targets. Coordinate and support meetings, selection panels, committees, sub‑committees or working groups, including arranging meetings and room bookings, coordinating papers, drafting agendas, taking minutes, maintaining and proactively managing actions. Support the organisation of relevant seminars, public engagement events and talks related to the MLTC CNC and AGE Research Group and attend meetings and internal/external events on behalf of the MLTC CNC. Support the purchasing requirements of both the MTLC CNC and the AGE Research Group, ensuring receipt of goods/services confirmation, resolving invoice, coding or expenses queries and adhering to University’s Procurement Regulations. Manage records such as publications, funding awards and impact that contribute to NIHR annual reporting requirements, maintain database(s) of information, gather data from multiple sources, extract reports and ensure integrity of data entered/recorded. Establish and maintain good working relationships with members of the MTLC CNC and AGE Research Group teams in Newcastle and across centres, maximising communication. Support communications plans, including coordination of material for promotion on websites and via social media. Support the process for payments and remuneration for public contributors working across MLTC CNC workstreams in line with the most recent regional guidance. Undertake other similar duties and responsibilities as required by the line manager. The Person (Essential) Knowledge, Skills and Experience Excellent IT skills, including competent use of Microsoft Office software and aptitude for development and use of core software and data systems. Excellent interpersonal and communication skills and ability to communicate with staff at all levels. High levels of literacy and numeracy, with excellent attention to detail. Experience of managing confidential and/or sensitive information with tact and discretion, and a working knowledge of GDPR. Experience of basic finance and purchasing processes. Experience of providing effective administrative support to teams, such as booking travel, taking minutes and arranging meetings. Experience of prioritising workload and handling conflicting priorities. Experience of working in a diverse team and with senior managers. Attributes and Behaviour Excellent interpersonal skills. Qualifications Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications, plus work experience in a relevant role; or substantial relevant work experience in the unit or a comparable setting.
