We’ve opened a role in our Ottawa office for a talented, entrepreneurial Administrative Assistant to work alongside exceptional people in JLR’s Corporate Affairs group. Are you comfortable with technical and administrative tasks, like managing databases, processing electronic signatures, reconciling expenses, and supporting day-to-day operations? Your Role as an Administrative Assistant: Choose your own adventure Let’s talk about how your skills, experience, goals, and passions can find a home at JLR. As the Administrative Assistant, your role will include: Supporting daily operations of the Corporate Affairs team by coordinating workflows and internal communications. Maintaining and updating corporate databases, including staff licensing and compliance documentation. Organizing meetings, managing schedules, tracking action items and assisting with travel and event coordination. Handling vendor compliance tasks, insurance certificate requests, and electronic signature coordination. Reconciling monthly credit card statements and collaborating with JLR staff and Finance for accuracy. Proofreading documents for grammar, tone and consistency, and helping to streamline SOP’s and governance processes. Greeting visitors, managing front desk inquiries and directing guests appropriately. Distributing mail and courier packages and monitoring shared inboxes and voicemails. Tracking and ordering office supplies and maintaining common areas like boardrooms and lunchrooms. Assisting with internal events, updating staff email signatures and supporting general office coordination.
