Welfare Coordinators are responsible for the welfare, administration, safety and security of students (including assisting in the arrival and departure of students and carrying out airport transfers). They act as a Group Leader for individual students, ensuring attendance at classes, activities, holding contact details and being always reachable in case of emergency. The role is supervisory; Welfare Coordinators must ensure that Group Leaders monitoring their own students are effective. A crucial part of the role is to be on duty five nights per week, as well as supervising students during their free time. The Welfare Coordinator is responsible for general administration duties relating to the running of the course on campus, working closely with and under the guidance of the Centre Manager. They will undertake administrative tasks (detailed in but not exclusive to those listed in the Main Duties and Responsibilities section of this document) as necessary. As the post involves administrative duties, strong administrative and organisational skills are required. The Welfare Coordinator will work a six‑day week. All full‑time staff receive one full day off per week. In accordance with British Council accreditation criterion S4, a Disclosure (PVG in Scotland/“Enhanced” DBS in England) must be dated within three months from the start date of employment. If you have worked abroad, you must provide the equivalent police check from that country. Disclosure checks made through St Andrew’s College Language Schools are payable by the employee (£18 to £59) and will be deducted from your salary. Other Important Information You may be required to work more than 48 hours per week. Evening and weekend work will be required. All staff accrue pro‑rated paid holiday during their period of employment. Holiday pay in lieu of untaken holiday is paid at the end of the contract. Pay will be processed for work undertaken until Sunday 20th July on Friday 25th of July. Pay will be processed for work undertaken until Sunday 24th August on Friday 29th August, plus all holiday pay accrued across the period of employment. Company t‑shirts, lanyards and ID badges are provided and must be always worn whilst on duty. Salaries are paid in arrears into a UK bank account on the last Friday of every month. Staff do not receive any overtime payment unless this is expressly agreed with the Managing Director. All staff must be employees of St Andrew’s College Language Schools. Safeguarding Responsibilities Read and understand the safeguarding policy. Know how to raise and report concerns following the chain of command outlined in the policy. Ensure that all students’ and staff equality and rights entitlements are met. Ensure that all on‑site staff follow the behavioural code of conduct set out by St Andrew’s College Language Schools, and have received appropriate training on safeguarding needs. Ensure that all students follow the school’s code of conduct as set out in the student contract. Ensure that all under‑18s on campus wear a purple lanyard, and all over‑18s a white lanyard. Ensure that all staff without a completed disclosure check are clearly identifiable through a lilac ID card. Ensure that students and staff are regularly reminded of the online safety policy. Ensure that students are aware of which staff are Welfare Coordinators and how to report to them. Ensure that any information disclosed to you is shared with the appropriate personnel. Ensure that all risk assessments are continually monitored. Welfare and Administration Read and understand the supervision manual, staff handbook and all welfare and protection policies. Ensure that each student’s dietary requirements are met and that their cultures and religions are respected. Induct and liaise with other staff regarding student pastoral care duties. Help students adjust to life in the UK and understand personal safety, British law, culture and values. Organise and participate in student orientation and induction, including ensuring that each student has relevant information, keys, lanyard and ID badge on arrival. Ensure that Group Leaders supervise their students effectively and oversee supervision when necessary, including managing lights‑out duty. Ensure that all students attend their timetabled activity/class. Liaise with the Director of Studies/Activity Manager to ensure all students on the registers are at the appropriate class/activity. Contact Group Leaders to locate students if necessary. Supervise students during their free time when required. Plan and organise pre‑arrival and departure checks and damage surveys. Assist the Centre Manager with collection and return of damage deposits on arrival and departure. Organise and implement airport transfers for student arrivals and departures. Ensure everyone is aware of emergency procedures. Display information relating to fire, health and safety and medical emergencies on the information board, in residences and the common room. Be responsible for health and safety issues that may arise in accommodation buildings and oversee evacuation during fire drills/alarms. Implement and monitor the college’s health and safety policies. Maintain accurate rooming lists and carry out fire drills on a regular basis. Build a community spirit between groups in accommodation through notice boards, hall of residence rules and competitions. Maintain student discipline in residences, liaising with management and Group Leaders. Report all damages to the Centre Manager and Group Leaders immediately. Act as a Group Leader for individual students when necessary. Duties include ensuring safety, dealing with queries, supervising, confirming details for excursions and wake‑up calls. Liaise with the Centre Manager and campus staff to ensure housekeeping and maintenance duties are completed to a satisfactory standard. Liaise with Group Leaders daily, both informally and at scheduled meetings. Keep a daily log of first aid issues, incidents/accidents, activities and actions taken. Promote events effectively and ensure students sign up in advance by updating notice boards daily. Maintain accurate registers of attendance for registered students at correct activity sessions. Collect and review student and Group Leader feedback questionnaires (online or paper) and take any necessary action in consultation with the Centre Manager and/or Managing Director. Supervise mealtimes and free time as required. Coordinate laundry and computer room use for students when necessary. Assist the Centre Manager and Activities/Excursion Manager with general administration (e.g. photocopying, preparing student packs). Ensure that initial and end‑of‑course feedback forms are circulated amongst all students in liaison with the Centre Manager and the Director of Studies. Be on call between 7 am and 1 am for all health and safety issues; not expected to be on duty between 11 pm and 7 am. Additional duties as required. Disclosure checks To work with St Andrew’s College Language Schools in the UK, in accordance with British Council accreditation criterion S4, you must provide a Disclosure (PVG from Disclosure Scotland / “Enhanced” from Disclosure and Barring Service in England) dated within three months from the start date of employment in 2026. If you have worked abroad, you must provide the equivalent police check from that country, specific to your suitability to work with under‑18s. Disclosure checks made through St Andrew’s College Language Schools are payable by the employee (£18 to £67.50*) and will be deducted from your salary. The company reserves the right to deduct the cost of these checks as soon as the process has started and regardless of the completion of the process. The company reserves the right to carry out PVG checks for all employees who don’t provide a suitable disclosure, unless otherwise requested by the candidate on acceptance of the job. To work with St Andrew’s College Language Schools in the US and Ireland, you must obtain a relevant police check for work in the US and/or Ireland, payable by the employee. Please bear in mind that the procedure of receiving a disclosure check usually takes 14 days (but could take up to a maximum of 18 weeks).
