Main purpose of the role Provide comprehensive administrative support to the Home Manager and ensure the effective operation of administrative systems and processes. About the Role This is a temporary position. Main Duties And Responsibilities Support the centralised sales, purchase ledger, and payroll systems by providing accurate information to meet required deadlines. Draft standard communications, including letters and emails, on behalf of the Home Manager. Provide first‑point telephone and face‑to‑face contact for visitors and callers. Devise and maintain databases and spreadsheets. Collate statistics and produce reports. Produce documents and presentations from materials provided. Manage petty cash returns. Submit weekly/monthly reports to the Managing Director or Central Support functions (Finance, HR, Payroll, Legal). Assist with the maintenance of effective filing systems including resident and personnel files. Assist the Home Manager with recruitment activities, including online posting, interview coordination, and compliance checks. Maintain an organised and secure archiving process. Handle opening and redirection of incoming and outgoing mail and email. Attend meetings, produce complete and accurate minutes, and circulate action points. Analyse information and produce complex reports. Help prepare for regulatory inspections and visits. Support marketing activities and respond to enquiries. Additional Responsibilities with Administrative Assistant Team Provide on‑the‑job training. Promote positive team working. Provide line management support to Administration Assistants. Be responsible for own practice and directly managed colleagues. General Responsibilities Ensure health, safety, and welfare of yourself and others; alert relevant officers to hazards; follow Beaumont policies on safeguarding, whistleblowing, and information governance; maintain confidentiality; build positive relationships; act as an ambassador for Beaumont’s Vision and Values; promote equality and diversity; attend mandatory training; undertake lawful, reasonable, and appropriate duties.
