About The Role Catering Leeds is responsible for preparing and serving meals to school children and children and adults in social care settings. Catering Leeds appoint approximately 840 frontline employees who work over 140 locations and serve over 5 million meals a year. This role will support the ongoing recruitment necessary to ensure all kitchens are effectively resourced, including short‑listing, interviewing, induction training and safeguarding checks. The successful candidate will attend recruitment fairs and liaise with internal departments to ensure a proactive approach to appointing new employees. The role also includes administrative duties within the Catering Leeds admin team such as answering calls, recording sickness, ordering PPE, raising repair requests and preparing reports. Based at Torre Road Depot (Leeds 9), the successful candidate will join this small but busy team to support the catering service. The post holder will supervise the admin team in the Manager’s absence and facilitate meetings regarding all aspects of recruitment. The role will work alongside service managers to ensure an effective and timely recruitment process is managed. The post holder must work flexibly and prioritise workloads at short notice to meet the ongoing needs and challenges of the Catering Leeds service. Ensure you are eligible before applying. Job Purpose The post holder will be required to provide support, assistance, and administration to Catering Leeds and Fleet Services. They will also administer the full end‑to‑end recruitment process, including short‑listing, interviewing, carrying out DBS checks and other safeguarding tasks and delivering induction and training. Responsibilities In liaison with the manager/senior officer, ensure delivery of a high quality and efficient service within the administration area. Provide a range of administration duties across Catering Leeds and Fleet services, with a key focus on operational support services. Conduct end‑to‑end coordination of the recruitment process including seeking approval for new positions/budgets, advertising positions, reviewing applications, shortlisting, interviewing, appointing and all relevant supportive paperwork in line with safe recruitment practices. Attend recruitment fairs to promote the positions and increase interest. Support the service by monitoring vacancies and liaising with area managers on progress of appointments, prioritising specific areas based on business need. Update clients and managers of new starters, including key information such as DBS, confirmed commencement date, training undertaken, etc. Induct all new starters and complete essential training records as required, including health and safety and safeguarding. Arrange uniform and relevant PPE and set up new starters on LCC applications and network folders. Work as part of a team to provide customer‑focused services. Carry out day‑to‑day administration processes relating to employment matters such as recording and monitoring of sickness and leave. Ensure all documentation is prepared, handled and stored to suit business needs, GDPR and legal requirements. Prioritise work to meet conflicting deadlines by liaising with colleagues. Record, monitor and track uniform/PPE budgets across both Catering and Fleet. Liaise with stakeholders to request immediate repair of catering kitchen equipment, ensuring the delivery of the school meal service is not disrupted. Monitor the cyclical programme to ensure all legal checks of electrical and gas appliances are compliant and safe. Act as the first point of contact for visitors and customers on the telephone and in person, dealing in a courteous, professional, calm and friendly manner. Use specialist IT applications and databases effectively to deliver administrative tasks. Deputise for the office manager in their absence, ensuring daily activity is conducted as usual. Provide quality 1:1 meetings, appraisals, training, and support for line‑managed staff. Produce monthly summaries, analysis, and reports including key performance information linked to recruitment, training and appraisals. Assist in the implementation of the service plan as deemed necessary. Attend relevant meetings, training days/events as requested. Operate relevant office equipment/ICT packages such as Word, Excel, databases, spreadsheets, and the Internet. Answer routine telephone enquiries. Provide clerical support including photocopying, filing, emailing, sorting and distributing mail. Undertake routine financial administration such as raising orders for repairs, uniform and seeking appropriate finance approvals. Communicate effectively with internal and external customers. Work flexibly within the team by providing cover across other teams. Become a Q, EHS & HS auditor and undertake audits as requested.
