Title: Regional Operations Coordinator – Site OperationsJob type: PermanentReporting to: Site Operations Team ManagerAbout the job: To ensure Club sites within a designated region are given the necessary support to operate safely, effectively and efficiently. To be responsible for providing administrative, telephone and other office support to the relevant Regional Manager, site staff and other departments within the Club.Key Responsibilities:1. To support site staff with daily operational issues, including member bookings, site rules and policies, and emergency procedures.2. To feed back information relating to sites and site staff as appropriate to Head Office departments.3. To coordinate communications between sites and relevant Head Office departments to ensure all site-related information is correct and updates reach members/guests.4. To liaise with the Publishing and Social Media teams to coordinate site publications and provide newsworthy content from sites.5. To coordinate the purchasing/procurement of necessary supplies requested by site teams and Regional Managers and liaising with the Procurement team.6. Monitor, maintain and update annual Health, Safety and Environment compliance reports.7. Perform a coordinating role, with attending supplier meetings and disseminating relevant information to the wider team, including sharing data on waste management and utilities.8. To support site staff with uniform and PPE ordering. Attend and support theUniform\PPE roll out at the Assistant Site Manager Induction (Likely to includeovernight stay).10. To monitor issues affecting sites and member stays and communicate these to members/guests, including emergency information.11. To provide daily administrative and operational support to Regional Managers.12. To support the Regional Manager and Alternative Accommodation Manager with Experience Freedom operational matters as required.13. To visit sites, exhibitions and shows and be able to stay overnight as required.14. To support with any other ad hoc duties as required.Essential Skills & Experience RequiredProven relevant experience in an administrative, operational and/or customer service roleProven experience of communicating and working collaboratively with multiple stakeholders, including marketing/finance teams, third party contractors, senior management and remote teamsDemonstrated experience of working within a team and autonomouslyProven experience of dealing with operational issues, including emergenciesUnderstands how to proactively and reactively coordinate operational tasksUnderstands some finance procedures, including processing Purchase OrdersUnderstanding of customer booking proceduresAnalytical and has techniques for identifying and solving problemsNumerate and literate, both in verbal and written formsEffective time manager and self-organiserResults and people-orientedPlease note this role will require occasional travel to multiple sites/events on occasion with overnight stays.
