Accounts Payable Associate Reporting Line: Accounts Payable Manager Job Family: Central Finance Department: Accounts Payable Location: Manchester/Hybrid Purpose of Role Responsible for the full end-to-end process of Accounts Payable for our critical suppliers, including high value/volume suppliers, rent, rates, utilities, and direct debits. Processing of all invoices and credit notes. Vendor statement reconciliations. Vendor query management for any vendors within the assigned account allocation. Who You’ll Deal With Internal: Central Finance Team, Centre of Excellence, Finance Business Partners, Supply Chain Procurement, Operations, Property, CFO. External: Vendors. Key Responsibilities Process all invoices & credit notes, ensuring documents are accurate, in the correct currency, and include relevant VAT codes. Ensure all documents are processed in line with monthly/quarterly deadlines. Perform vendor statement reconciliations on a monthly basis. Pro‑actively drive query resolution by liaising with vendors and internal stakeholders. Build solid collaboration with external stakeholders to ensure future efficiencies. Manage the Vendor Query Mailbox, responding to all queries within 24 hours. Address on‑stop issues promptly, ensuring vendors are not affected and the AP Manager is informed in a timely manner. Review and action direct debit vendor accounts, clearing them regularly. Drive weekly calls with stakeholders, document minutes, and distribute actions for resolution before each call. Review assigned vendors showing a debit balance, communicate internally and with the vendor to reduce the balance. Inform AP Manager of any urgent or one‑off payments required outside of the normal payment day. Deal with any internal requests for information, escalating unresolved concerns to the Senior or Manager. Attend one‑to‑one meetings with your Manager and contribute to team meetings. Provide training to new employees and cross‑train where required. Key Performance Indicators Timely processing of invoices and credit notes. Accuracy of information. Timely statement reconciliation. Speed and accuracy of query resolution. What You’ll Have High resilience, working within a fast‑paced environment. Proactive self‑starter, able to work independently and as part of a team. Strong analytical and problem‑solving abilities. Excellent communication and organisational skills. Good time management and attention to accuracy and detail. Persistence in query resolution and the ability to work under pressure and to deadlines. Good IT skills – MS Office, Word, Excel, PowerPoint, e‑mail, Internet, Outlook.
