We are looking for a Payroll and Finance Co‑ordinator at KYN; you will be responsible for the payroll cycle for all of our homes and head office, as well as working with our finance team on operational finance. You will ensure that all our team members’ payments and queries are managed accurately and effectively so that they can focus on our residents and their families feeling loved, happy, safe, and secure. You will be part of the finance team and will work very closely with the People & Culture team; you will be the payroll subject‑matter expert and will provide front‑line support. About the opportunity: Accurately manage the in‑house monthly payroll for all employees and staff, including payments of overtime, bonuses, processing staff deductions, calculating statutory payments, adding new starters, terminating leavers, making salary adjustments, and generating P45s, P60s and P11Ds as required. Liaise with the People & Culture team and Home Administrators for information on any payroll changes, including management of the time and attendance system (called Allocate). Ensure the effective and timely administration of all company benefits (e.g., pension contributions, private medical insurance). Be the first point of contact for employee queries, ensuring all queries and discrepancies are analysed, investigated, and resolved in a timely manner. Project manage and lead the delivery of annual payroll events (e.g., salary reviews). Perform payroll year‑end tasks and P11Ds for employees and check submission to HMRC. Pro‑actively keep up to date with any legislative changes that may impact payroll and reward & benefits; identify risks and make changes as required. Lead the full lifecycle of payroll system migration from Frontier to MHR People First, including configuration, testing, parallel runs and go‑live support. Provide and reconcile monthly payroll reports from both the system and Excel, ensuring alignment with BACS payments, HMRC submissions, accounting journals, and employee records. Prepare monthly payroll journals and collaborate with the finance team and financial controller to ensure accuracy and completeness in the accounts. Provide regular and ad‑hoc KPI data for reporting purposes, and pro‑actively track and identify trends for monthly payroll management reporting. Ensure compliance with relevant legislation, data protection standards, and internal policies throughout the implementation process. Undertake project work and other tasks as required by the Chief Financial Officer or financial controller. About you: Strong in‑house payroll experience, with a minimum of 2 years in a payroll‑focused position. Experience of a multi‑site operation within care (or a similar industry where shift patterns are worked). Proven track record of successfully implementing or migrating payroll systems. Flexible approach to working, with 3 working days in the office. Strong understanding of payroll processes, legislation, and reporting requirements. Experience working with payroll and accounting software; experience with Frontier, MHR People First, Allocate or Xero is an additional benefit. Strong analytical and problem‑solving abilities, particularly in data migration and system integration. Organised with strong communication and influencing skills, an approachable manner, an eye for detail, and the ability to plan and prioritise and work to tight deadlines. Ability to work under pressure, flexibly and consistently. Friendly, compassionate, kind, and caring individual. Good Excel skills, including advanced formulas and data manipulation. Sound knowledge of current payroll and pension legislation. CIPP or equivalent qualification is desirable.
