As an Enrolment Coordinator, you will be instrumental in facilitating a smooth and efficient enrolment process for our apprentice learners. You will oversee the enrolment workflow from start to finish, ensuring compliance and delivering an exceptional experience for learners and line managers. Key Responsibilities: Communication and Onboarding: Send welcome emails to learners and line managers, providing clear and detailed instructions for the onboarding and enrolment process. Serve as the first point of contact for any queries related to enrolment. Compliance Documentation: Prepare and send compliance‑related documents such as Employer Agreements, Apprenticeship Agreements, and Training Plans. Ensure the timely and accurate submission of all required documents, adhering strictly to compliance with funding rules. System Management: Create learner and line manager accounts on learning management systems (e.g., OneFile). Ensure all systems, including OneFile, are regularly updated and reflect accurate learner statuses and personal information. Enrolment Process: Oversee and manage the enrolment process from start to finish, ensuring all aspects run smoothly and are completed in a timely manner. Coordinate and facilitate enrolment sessions, maintaining and updating the enrolment calendar. Track and monitor the completion of enrolment to meet deadlines and requirements. Data Management: Maintain and update relevant spreadsheets and internal systems with up-to-date learner information. Upload and manage all completed documentation, ensuring it is stored correctly within the appropriate systems. Learner Support: Identify and flag any concerns arising from enrolments, including special educational needs or potential causes for concern, and communicate these to the appropriate teams. Support learners and managers in understanding the enrolment process and answer any related queries. Administrative Support: Create and update group profiles and maintain learner data across various systems. Support Wellbeing as a designated officer (training provided). Assist with invigilation of exams when required. Perform general office duties such as answering phone calls, monitoring helpdesk emails, and addressing inquiries. What an Enrolment Coordinator Needs: Excellent organisational and time-management skills. Strong attention to detail and ability to manage multiple tasks simultaneously. Effective communication skills, both written and verbal. Experience with apprenticeship or learning management systems (e.g., OneFile, Aptem) is an advantage. Ability to work well in a team and support learners and staff alike. Familiarity with compliance documentation and funding regulations is beneficial. Like the sound of joining our family?
