Patient Booking Assistant The closing date is 11 December 2025 We are looking for two flexible, enthusiastic candidates to join our Admin and Clerical, Reception & Patient Booking team. Based in the Neuroradiology department, located at the National Hospital for Neurology and Neurosurgery (part of the UCLH NHS Foundation Trust), the department is a specialist centre providing x‑ray, ultrasound, CT, MRI, and interventional radiology services to both local and national patients. The ideal candidates will be approachable, organised, and willing to provide a high standard of service to all patients and service users. The department operates across 7 days a week (08:00 to 20:00 weekdays & 09:00 to 17:00 weekends). The successful candidates will be required to work across our full operational hours including evenings and weekends (according to the staffing rota). Both positions are a 12‑month fixed‑term contract. Main duties of the job This role involves meeting and greeting patients at reception upon arrival to the department, data entry into the Trust's EHRS system, booking and rescheduling radiology appointments, communicating with patients by phone and email, responding to queries through a dedicated department mailbox, managing waiting lists and appointment work‑queues, using the Trust's computerised systems, and liaising with clinical staff, patients and all other internal and external stakeholders. Essential Qualities and Skills Exceptional Communication Skills: The ability to communicate clearly, compassionately, and effectively, both verbally and in writing. Empathy and Patience: Candidates must be understanding, sensitive, and able to respond to patients' needs with empathy. Strong Organisational and Time Management Skills: The role is fast‑paced and requires the ability to multitask, prioritise a varied workload, and manage appointments and records efficiently to ensure smooth operations. Knowledge and Qualifications Educated to GCSE level or equivalent, with Grade C or above in English and Maths. Knowledge of administrative procedures, acquired through training and/or previous experience of working in an administrative environment. Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act. NVQ Level 3 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification. Experience Experience of working in a non‑routine environment, with demonstrable evidence of being able to respond to queries and deal with unpredictable situations as they arise. Experience of working in a customer‑facing environment, with knowledge of a comprehensive range of administrative procedures. Disclosure and Barring Service Check This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
