Summary Of Role Reporting directly to the Information System Manager, the successful candidate will join CField’s Quality team and their primary role is to manage, organise, and maintain all project‑related documentation, ensuring accuracy, compliance, and accessibility throughout the lifecycle of construction projects. This position involves coordinating quality activities, implementing quality control processes, and maintaining quality documentation. The Document Controller will work closely with various departments to ensure compliance with quality standards and to promote a culture of continuous improvement. Key Duties & Responsibilities Document Management Provide document management assistance to site teams. Maintain updated issue sheets from the Design Team and verify alignment with uploads. Collaborate with the site team to raise, chase for responses and close out RFIs, ensuring they are correctly logged on Procore. Understand the Projects Quality Plan and monitor completed checklists according to the respective Plan. Verify that all files and database entries are updated and current revisions are correct. Develop fortnightly reports for subcontractors, architects and engineers on drawing approval status. Liaise with the Design Manager for expired approval periods and send reminders. Keep specifications and schedules filed and up to date. Resolve queries on drawings/specifications regarding status/revision with the issuing parties. Enter received documents onto the appropriate document register. Procore Set up QMS for new projects, managing and maintaining quality records across various projects. Assist site teams with effective use of Procore. Onboard and train Subcontractors to Procore via MS Teams and face‑to‑face as needed. Quality‑check all documents issued to the document management tool and communicate issues. Manage project workflows to ensure effectiveness and reduce bottlenecks. Resolve Subcontractors and Design team Procore queries. Conduct monthly Procore audits on all assigned projects. General Duties Review information flow with site management and take lead follow‑up where flows are not adhered to. Maintain the Documents tool folder structure and proper naming conventions. Provide a monthly update on the status of the O&M manual. Assist Project teams in collating information for the O&M manual. Generate an index/tracker of information required at project commencement. Agree on the index of information required with the Employer & Building Control. Monitor ongoing status and elevate delays as appropriate. Arrange weekly meetings with the site team on O&M manual status for the last 3 months of the project. Complete any other tasks assigned by the line manager. Key Skills & Experience Minimum two years experience in a Document Controller role. Minimum A levels or equivalent and good knowledge of ISO 19650. Experience in the construction industry (essential). Attention to detail and accuracy. Prior EDMS experience (Procore desirable but not mandatory). Organised and able to manage time effectively, prioritise tasks and live projects simultaneously. Ability to build excellent working relationships with a wide range of people. Strong communication skills, written and oral. Proficient IT skills with good knowledge of Microsoft Office.
