An exciting opportunity has arisen for a motivated and organised individual to join our Maternity Services team as a Clerk within the Antenatal Day Assessment Unit (ADAU). The ADAU provides care and monitoring for women who require additional antenatal assessment or observation. The successful candidate will play a vital role in supporting this busy clinical area by providing high-quality clerical and administrative support to the multidisciplinary team. You will act as the first point of contact for women and their families, ensuring they receive a warm and professional welcome. You will also maintain accurate electronic patient records, manage referrals and appointments, and support the smooth coordination of patient flow within the unit. This is a key role in ensuring the safe, efficient, and compassionate delivery of maternity care, in line with Trust values and CQC standards. Main duties of the job Provide an efficient, welcoming, and professional reception service to all patients, relatives, and visitors attending the Antenatal Day Assessment Unit. Register and update patient information on Trust systems (e.g., PAS, BadgerNet, and other maternity IT systems). Manage electronic referrals and appointment requests, ensuring timely action and communication with clinical staff. Support the coordination of daily clinic activity, including scheduling, patient arrivals, and record management. Maintain accurate and confidential records in accordance with Trust information governance policies. Liaise with midwives, obstetricians, sonographers, and other departments to support smooth patient flow. Handle telephone calls and enquiries in a courteous and professional manner, escalating as appropriate. Perform general administrative tasks, including filing, photocopying, and document scanning. Contribute to service improvement and support the administrative needs of the unit manager and senior midwifery team. Cross cover of other clerical areas where required. Job responsibilities The ADAU Clerk will work as part of a multidisciplinary team to provide a comprehensive clerical support service within the maternity department. The role requires accuracy, confidentiality, and excellent communication skills to ensure the effective running of the unit. You will be responsible for the registration, admission, transfer, and discharge of patients using the Trusts Patient Administration System (PAS) and maternity systems such as BadgerNet. You will also manage the units electronic inbox, processing referrals for antenatal assessments, triaging requests, and ensuring patients are booked and tracked appropriately. In addition, you will prepare and maintain patient records, ensuring all necessary documentation is scanned and stored in accordance with Trust standards. You will liaise closely with the clinical team to support investigations, follow-up appointments, and the safe discharge of women from the unit. The postholder will also assist in maintaining stock of clerical supplies, support the preparation of reports or data entry for audits, and contribute to the general organisation of the department. As a key member of the administrative team, you will uphold the Trusts values of compassion, respect, and teamwork, ensuring a positive and supportive experience for women and their families. Main Responsibilities Provide front-line administrative and reception support for the ADAU. Maintain accurate and timely data entry on all relevant maternity information systems. Process referrals and appointments in collaboration with clinical staff. Ensure all records and documentation are correctly completed, filed, and scanned. Handle incoming and outgoing correspondence, including emails and telephone calls. Support midwives and medical staff with the administrative elements of patient care. Coordinate patient discharges, follow-up appointments, and interpreter bookings when required. Maintain confidentiality and adhere to data protection and information governance standards. Ensure adequate stock of clerical supplies and maintain a tidy, organised working environment. Report any issues or incidents promptly to the Department Manager. Participate in team meetings and contribute ideas for service improvement. Work flexibly to provide cover for colleagues within maternity administration when necessary.
