The role is based on site only; no hybrid working or solely working from home is available. Department: Royal Edinburgh & Associated Services (REAS) Administration Department. Location: Royal Edinburgh Hospital, Morningside Road, and surrounding areas. Note: The role does not qualify for sponsorship. Background We are seeking an enthusiastic and conscientious Administrator / Secretary to provide comprehensive support within the Royal Edinburgh & Associated Services Administration Team. The position will mainly support the Senior Management Team and Personal Assistants, covering financial transactions, reporting, event coordination, diary management and IT requests. Supervision or support of junior staff may be required. Responsibilities Provide administrative support to Senior Management and Personal Assistants. Handle financial transactions and reporting duties. Coordinate events and meetings: logistics and documentation. Maintain diaries and resolve conflicts. Assist with IT requests, annual leave documentation and onboarding of new staff. Gather information on NHS Lothian Employee Relations processes. Support or supervise junior admin staff, where applicable. Qualifications & Experience HNC/SVQ Level 3 in Secretarial Studies or Business Administration or equivalent relevant experience. Previous administration experience with excellent telephone manner and people skills. Excellent administrative skills, advanced keyboard proficiency, keen attention to detail. Ability to work independently and collaboratively across multiple service areas; prioritise workloads across locations. Strong oral and written communication skills; self‑motivated and proactive. Experience using Microsoft Office and NHS systems such as TRAKcare. Experience handling confidential communications and sensitive information. Desirable Training in TRAKcare Patient Management System. Knowledge of medical terminology. Audio typing skills. Previous minute‑taking experience.
