Job Description - Workforce Management Team Lead - (Admin and Secretarial)
Location: Feltham
Job Type: Full-time, Permanent (40+ hours per week)
- Lead and mentor a team of Workforce Management Coordinators.
- Foster a collaborative team culture focused on accountability, performance, and continuous improvement.
- Provide training and development to improve planning skills and knowledge.
- Conduct regular performance reviews and provide constructive feedback.
- Oversee staff scheduling and shift planning to ensure optimal coverage and flexibility.
- Respond swiftly to changing operational demands and adjust staffing levels accordingly.
- Ensure fair allocation of shifts while complying with legal, contractual, and business requirements.
- Maintain a proactive approach to demand forecasting and seasonal planning.
- Monitor timekeeping records for accuracy and payroll alignment.
- Ensure adherence to UK employment law, working time regulations, and internal policies.
- Support audit readiness by maintaining clear and accurate workforce documentation.
- Drive best practices and compliance across all workforce management activities.
- Liaise with department heads, HR, and operations teams to anticipate workforce needs.
- Act as the go-to point for workforce-related concerns and problem resolution.
- Deliver timely and proactive staffing solutions to meet business priorities.
- Build strong internal relationships to support overall business goals.
- Manage staffing agency partnerships to align with planning needs and business standards.
- Ensure agency workers meet compliance, conduct, and performance expectations.
- Review and evaluate agency contracts and costs to maximize value.
- Address agency performance issues and escalate where necessary.
- Produce regular reports on staffing levels, performance metrics, absenteeism, and trends.
- Use data-driven insights to optimize workforce allocation and planning processes.
- Present findings and recommendations to senior management.
- Contribute to strategic workforce decisions based on accurate forecasting and analysis.
- Use workforce management tools and systems to streamline scheduling and tracking.
- Maintain accurate data input, updates, and system integrity.
- Champion the adoption of digital tools and process automation.
- Train team members on system usage and updates.
- Bachelor's degree in Human Resources, Business Administration, or related field.
- Minimum 3 years of workforce management experience, with at least 1 year in a leadership role.
- Strong understanding of workforce planning tools (Excel, Microsoft Access, or similar software).
- In-depth knowledge of UK labour laws and compliance regulations.
- Exceptional communication and interpersonal skills.
- Strong analytical and problem-solving skills.
- Experience in airline catering, hospitality, or a similar high-paced environment preferred.
- Ability to work effectively under pressure and adapt to shifting priorities.
