Job Description

Job Purpose
Working as part of a team to provide professional administrative and organisational support to ensure effective delivery of the University's Code of Student Conduct. Generate reports, arrange meetings and input data to Student Conduct Case Management systems, and support the Head of Student Conduct and Case Managers with diary management and the organisation of training and briefing events. From time to time, the postholder will also be expected to provide operational support to the wider Legal and Governance Services team.

Main Duties And Responsibilities

  1. Provide effective administrative assistance in support of key elements of the Code of Student Conduct.
  2. Assist with the processing of new conduct referrals, maintenance of files and records and ensuring accurate data input to facilitate business processes.
  3. Working with the Case Administrators, provide timely responses to general enquiries from our main stakeholders e.g., students, staff, members of the public.
  4. In collaboration with the Case Administrators, produce and distribute accurate standardized reports generated via Student Conduct Case Management Systems.
  5. Support the Head of Student Conduct and Case Managers with diary management, scheduling online meetings, room bookings and other general administrative duties.
  6. Undertake all necessary administrative support in relation to effective delivery of the Code of Student Conduct.
  7. Work as part of a professional multi-skilled team to contribute to the delivery of the processes that support the Code of Student Conduct in times of team members' absence.
  8. Provide operational and administrative support for meetings, events, seminars, conferences and recruitment activities.
  9. Submit and follow up Helpdesk requests relating to fabric, facilities and equipment and liaise with relevant teams within the Estates Directorate to organise maintenance visits for all space used by the wider Legal and Governance Services team.
  10. Provide support for all centralised purchasing activity ensuring that requisitions are processed timeously via Agresso and subsequent purchase orders are tracked, received, and invoices processed promptly.
Knowledge/Qualifications
Essential:
  1. A1 Scottish Credit and Qualification Framework Level 7 (Advanced Higher/Scottish Vocational Qualification Level 3, Higher National Certification) or equivalent and experience of personal development in a similar role.
  2. A2 Strong IT knowledge and skills, including Microsoft Office Packages.
Desirable:
  1. B1 Knowledge of University processes, systems and structures.
Skills
Essential:
  1. C1 Good organisational and time management skills and an ability to manage and prioritise a busy workload, acting calmly and methodically to ensure that deadlines are met.
  2. C2 Excellent written and oral communication skills and an ability to interact positively with others in person using tact, diplomacy, discretion and confidentiality as appropriate.
  3. C3 Proficient in the use of MS Office applications (Word, Outlook, Excel).
  4. C4 Familiarity with MS Teams, SharePoint, Zoom.
  5. C5 Proven analytical and problem-solving skills.
  6. C6 Able to work proactively, multi-task and to use initiative as part of an extended team.
  7. C7 Flexibility and willingness to adapt to change.
  8. C8 Excellent attention to accuracy and detail.
Experience
Essential:
  1. E1 Relevant administrative experience gained through relevant work experience in a busy office environment.
  2. E2 Experience of administrative support processes, including the collation and monitoring of a range of data.
Desirable:
  1. F1 Experience of processes relating to student administration.
Terms and Conditions
Salary will be Grade 3, £23,028 - £23,881 per annum.
