Joining as Practice Manager and Executive Assistant, you will be a key team member supporting with the overall running of the firm.
- Client onboarding, including sending engagement letters, completing risk assessments and customer due diligence including management of professional clearance.
- Overseeing client deadlines, keeping clients updated and requesting information when necessary.
- Tracking client tax refunds.
- Credit control for the practice including emailing monthly statements to clients and following up with overdue invoices.
- Sending firm wide communication to clients with relevant policy changes and important updates.
- Management of books/files both inbound and outbound as well as post allocation and ensuring files are scanned and saved to correct folders.
- Ongoing client review work annually and maintaining database (TaxCalc) with updates to client information.
- Company secretarial work experience desired but not essential responsibilities include updating Companies House with details and amendments.
- Client disengagement, providing correct information in a timely manner to newly appointed accountants when required.
- Providing a friendly point of contact to clients including meeting and greeting clients visiting the office, manning reception and responding to queries from staff and clients.
- Communicating staffing updates and business changes.
- General support and assistance to the team including administrative duties.
- Organising staff events.
- Booking staff training courses.
- Scheduling office works, arranging contractors etc.
- Maintenance and upkeep of office area, liaise with handyman/cleaners and other contractors where required.
- Ordering office supplies.
- Keep HR policies up to date (liaise with our HR subcontractors).
- Diary management and email monitoring for the partner of the practice.
They are looking for a highly organised candidate, who takes pride in their work and in being part of a team who is willing to go above and beyond the expectations of clients, to help develop profitable long-lasting relationships. They require someone who has excellent communication skills and experience working within a similar role. They are looking for someone who can build on, improve and streamline processes for the practice.
