The DetailsLocation: BrightonSalary: £25,000 - £30,000 depending on experienceWorking: 5 days per week in the officeInterested in learning more about this job Scroll down and find out what skills, experience and educational qualifications are needed.The OpportunityWe are looking for someone who is highly organised, and gets a kick out of juggling multiple tasks without dropping the ball. We also want someone who is going to bring their ideas to improve our processes.You’ll work closely with the founders and team, handling a blend of admin, operations, logistics and customer support tasks — keeping everything smooth, on time, and properly tracked.Finance & AdministrationProcess invoices, reconcile transactions, liaise with our accountantKeep records tidy: expenses, stock purchases, contractsTrack timesheets, assist with reporting and bonus logsKeep internal staff and training records up to dateEnsure that our Stock levels are accurate, and reflected on the relevant systemsProvide occasional PA-style support to the foundersOperationsLearn our processes, then bring your own ideas to improve ‘how we do things’Work with the Founder and interim COO to implement a best in class playbook for how the business operatesSpot issues and fix them before they become problemsManage day-to-day office operations, including supplies, contracts, and vendor relationshipsKeep the workspace tidy and organisedHelp with fulfilment of ordersHelp to onboard new hiresCustomer ServiceManage shared inboxes and respond to customers with speed, care and clarityWork across platforms and handling multiple conversations at onceProcess orders, refunds, and returns accurately and efficientlyUpdate CRM and order systems with clean, current dataWork on social media and website marketing contentThe Person3years+ administrator experience, customer service or office coordination roleExperience working in a ‘super fan’ industry is strongly desired (collectables)Shopify xwwtmva and Commerce experience is importantExcellent organisational and multitasking skills, with strong attention to detailStrong negotiation and communication skillsDynamic self-starter, proactive and makes things happenBusiness acumen, bringing ideas to improve performanceExcellent relationship builderResilience, ability to work to tight deadlinesPositive, can-do attitudeDesired experience (not essential)Excel skills and familiarity with financial systems (Xero, Dext, QuickBooks, etc.) is a benefitExperience with social media content creation (e.g. product-focused reels, videos, imagery)Familiarity with TikTok Shop, or Omnisend
