Job summary Norwood Surgery is looking to recruit a full-time Deputy Practice Manager, part-time hours would also be considered.The main duties of this role are to support the Practice Manager in the day to day running of the practice.
Main duties of the job To supportthe practice manager in all aspects of practice functionality, motivating andmanaging staff, optimising efficiency and overall performance, ensuring thepractice achieves its long-term strategic objectives in a safe and effectiveworking environment.
The Deputy PracticeManager will focus on the day-to-day operability of the practice.
About us Norwood Surgery is a 5 partner training practice in Southport, Merseyside.
We have 3 salaried GP's, 1 ANP, 3 Practice Nurses, 2 GP Assistants and a Phlebotomist and a large team of administration and reception staff.We have approximately 10,000 patients and offer a wide variety of appointments each day and have a high level of patient satisfaction.
We pride ourself on the patient experience and aim to provide continuity wherever possible.
Job description Job responsibilities The following are the core responsibilities of the deputy practice manager.
There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.
The deputy practice manager is responsible for: a.
Supporting the practice manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities b.
Providing leadership and guidance for the following staff: [Assistant Practice Managers, IT lead, Practice Nurses , Reception Team) c. Ensuring staff adhere to policy and procedure at all times d. Monitoring compliance with health and safety legislation, providing leadership and direction for staff e. Developing, implementing and embedding an effective practice training programme for all staff (clinical and administrative) liaising with external agencies when necessary and maintaining a training record f. Manage compliance registers, supporting the practice manager, ensuring DBS checks are conducted g. Managing the clinical system, ensuring IT security and IG compliance at all times h. Responding and resolving all local IT issues where appropriate i.
Guiding staff and developing searches and audits on the clinical system j.
Reviewing and updating clinical templates ensuring they relate to current practice k. Monitor group mailboxes, ensuring information is disseminated appropriately l. Ensuring the clinical session structure is effective, meets the needs of the patients and clinicians have access to suitable rooms m. Producing and implementing an effective practice training programme for all staff (clinical and administrative) liaising with external agencies when necessary n. Supporting the overall practice clinical governance framework, submitting reports for OQF, enhanced services and other reporting requirements using CQRS / PCSE.

Monitoring and disseminating information on safety alerts and other pertinent information p. Support the management team in the compilation of practice reports q.
Maintaining the significant event database, providing advice to staff and briefing the team at meetings as required r. Identifying trends and devising solutions to reduce risk and repeated occurrences of significant events s. Developing, implementing and embedding the practice audit programme (in conjunction with the lead nurse) t. Guiding the team to reach QOF and LQC targets (supported by the nursing and administrative leads) u.
Briefing clinicians on performance levels, advising actions to ensure high achievement across all QOF areas Secondary Responsibilities In addition to the primary responsibilities, the deputy practice manager will be requested to: a. Deputise for the practice manager in their absence b.
Act as the primary point of contact for NHSE Sefton Place, ICB, community services, suppliers and other external stakeholders in the absence of the practice manager c. Assist with the recruitment of staff as requested by the practice manager, place adverts via NHS jobs.
d. Support the practice manager in the reviewing and updating of practice policies and procedures e. Oversea the assistant PM in respect of the building, dealing with defects, maintenance and all other associated tasks f. Coordinate portable appliance testing (PAT) g. Maintain an equipment log h. Manage asset registers as directed by the practice manager i.
Coordinate all staff absences, maintaining an effective absence register, authorise annual leave absence, perform back to work interviews after absences.

Act as the communication link between the management team and staff k. Represent the practice locally as required, attending meetings in Practice managers absence.
l. Attending and taking minutes of Partners, MDT, Future Planning and staff meetings.
Chairing staff meetings in Practice managers absence.
