Job summary This part time role has been set up to help us develop a practice fitfor the future.
This role will help to ensure the smooth running of thepractice and provide efficient patient service.The Operations Manager will work closely withPractice Manager assisting her with many aspects of running the practice,managing staff, providing administration support, working closely within theexisting teams, dealing with problems as they arise and project managing.Patient healthcare needs are at the forefront of ourpractice day to day operations, you should be familiar with QOF achievement andthe NHS healthcare setting.
You willassist in the planning of clinics to ensure we have a successful patient recallsystem.
Main duties of the job Management of the teams and individuals will be requiredparticularly in the Practice Manager absence along with crisis management ofissues such as disaster management, loss of services such as IT Equipment,telephones, etc.The role will involve all aspects of the practice includingpremises, IT support, HR, communication, CQC preparation, practiceadministration and interaction with patients.You will assist the Practice Manager with the day to day running of the practice, this may include preparing rotas, project management, assisting patients with queries, data entry, meeting minutes adn organsation for example and many other duties.
About us Redwood HouseSurgery is a well organised, high achieving 2 Partner practice with 6,000patients providing dedicated caring clinical services.
The practice achieved aGOOD CQC rating.
We have a friendly happy team working at the surgery.We are situatedin a pleasant location within easy access of the M4/ M40 in Cox Green,Maidenhead.Hours arenegotiable, 16 -25 hours considered, working 2 to 4 days.
Pay will beconsidered dependent on experience.
Job description Job responsibilities Tasks:1.Work to identify and resolve any problem areaswhich arise and escalate any problems including any staffing issues to thePractice Manager.2.Recommend improvements to how we could work moreefficiently and review administration systems so there are establishedefficient ways of working.3.Ensure staff are trained to provide cover forall the administrative functions and patient queries so we have a multi-skilledflexible team.4.Communicate with all staff and keep them up todate.5.Responsible for communications with patientsincluding complaints handling, website, online patient access, patientnewsletters.6.Support practice management with new projectsand developments and practice administration.7.Ensure the practice maximises patient healthcareso we achieve maximum QOF achievement.8.Assist Practice Manager with recruitment and HRfunctions.
9.Review and maintain up to date polices andpractice administration such as minutes.10.
Helpto organise staff rotas and coordinate holiday requests to ensure there isadequate cover at all times.11.
Ensurethe work environment is kept clean, tidy and well organised, paying dueattention to health and safety.12.
Ensurethe practice is compliant with any NHS, Information governance, CQC, or healthrelated requirements.13.
Workclosely with the Practice Manager to provide support as and when required.Thislist is not exhaustive.
You will be required to complete other tasks reasonableto your role to ensure the practice operates efficiently.
Person Specification Qualifications Essential A good level of education is required, you will need to write documents for patients.
English, Maths to GCSE Grade c or above or equilivant.
Experience Essential Experience of working in a NHS GP surgery would be is essential/ desirable.
Knowledge and skills Essential The role of Assistant Practice Manager requires the following skill set: interpersonal skills to build positive working relationships with staff and clinicians 2.Ability to lead, manage and motivate a team communication skills confidence organised approach to work with strong organisational skills 6.Ability to work under pressure in a calm and professional manner level of IT literacy 8.Ability to multitask and prioritise work appropriately 9.Willing to make suggestions for change and embrace change 10.Ability to adapt to changing work pressures and workloads.
11.Flexibility in working hours and days Desirable IT proficient as you will be communicating verbally and written to external stakeholders.
