Job Brief:
As a Personal Assistant to the Executive Team, you will report directly to the CEO and provide high-level administrative support to the CEO and other Executive Team members. You will also serve as a liaison to the parent company board members and senior managers within Mayborn. This role involves organising and coordinating executive events, overseeing special projects, and managing complex schedules and travel arrangements.
Key Responsibilities:
Manage the CEO and Executive Team's diaries, resolving scheduling conflicts
Arrange travel and accommodation for executives, including international travel, visas, and transportation
Handle sensitive matters with confidentiality and discretion, especially those impacting global operations
Coordinate and distribute monthly and quarterly board papers and agendas
Liaise regularly with Senior Management team members and assist with scheduling
Prepare presentations, reports, agendas, and other documents in support of organisational objectives
Screen incoming calls, take accurate messages, and respond to information requests
Maintain excellent communication and time management skills to meet deadlines
Perform additional duties as assigned by executives, including organising team events and managing office supplies
Skills and Qualifications:
Minimum of 5 years of experience in an executive assistant role supporting an executive team
Extensive experience in a fast-paced environment
Proven ability to manage multiple diaries across different time zones
Strong communication skills and professional demeanour
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
Ability to handle confidential information with discretion
Excellent organisational skills and attention to detail
