The Administrative Assistant will provide crucial administrative support to the Packaging Purchaser, ensuring the smooth operation of packaging procurement processes. This role will focus on maintaining accurate documentation, managing orders, and ensuring clear communication between internal teams and external suppliers. The ideal candidate will be organised, detail-oriented, and capable of handling multiple tasks to support the purchasing and packaging departments.
Key Responsibilities:
* Support the preparation and management of purchase orders, ensuring all documentation is accurate and up to date.
* Maintain and update daily reports, master spreadsheets, and databases related to packaging procurement.
* Assist in the tracking and consolidation of orders, ensuring timely and accurate documentation of all purchasing activities.
* Coordinate with suppliers and internal teams to manage packaging approvals and documentation.
* Ensure that all packaging-related documents, such as specifications and files, are correctly stored and distributed.
* Assist in monitoring stock levels of packaging materials, maintaining records of stock, wastage, and packaging weights.
* Liaise with external suppliers to follow up on order statuses, delivery schedules, and any updates required for the procurement process.
* Communicate any changes in packaging requirements or order details to relevant internal teams.
* Support communication between the procurement, production, and technical teams to ensure all packaging requirements are met according to the production schedule.
Skills required
* Proven experience in an administrative role
* Strong organisational skills with a keen attention to detail.
* Excellent communication skills, both written and verbal, with experience in liaising with internal teams and external suppliers.
* Proficiency in Microsoft Office
