We are looking for a talented and friendly Recruitment Team Administrator to be part of our Operations team. To be successful, you need to be an outstanding administrator with a passion for working in a busy and fast-paced recruitment environment, with the ability to organise and prioritise a varied workload. You’ll be professional at all times and have a genuine passion for communicating with a variety of candidates, client and other providers.
* Account Management: Management of contingent workers and data gathering process for client sourced candidates. Liaising with clients who have independently sourced contingent workers, gathering all the details regarding their engagement to pass to the onboarding team to action. Being the main point of contact for the client, the onboarding team and the candidate with queries relating to the onboarding process. Liaising with the client at all levels, including c-suite.
* Administrative support: Provide administrative support to the recruitment team, including scheduling meetings, taking minutes, and preparing documents. Organisation and maintenance of data in spreadsheets; generating reports; organising paperwork; and other related administrative duties as required. Manage office correspondence, including incoming/outgoing mail and email communications. Assisting the wider recruitment team with completing their contingent worker paperwork.
* Office management: Co-ordinate, manage and order all office supplies with appropriate approval. Manage all Inventories. Ensure the cleanliness, organisation, and presentation of the office space and common areas. Maintain the office layout and ensure supplies and equipment are adequate. Managing the main phone line and directing queries accordingly.
* HR support: Support onboarding and induction of new starters, supply of equipment, etc; organise for equipment to be collected from leavers, etc.
* IT support: Provide support for all IT queries, liaising with our IT support if required. Track office assets and ensure proper maintenance or replacement as needed.
* Events: Assist with managing both internal and external company events, including meals, drinks, outings, meetings, and team-building activities. Ordering merchandise and overseeing client gifting.
* Miscellaneous Duties: Handle ad-hoc projects or tasks as required. Assist in cross-departmental initiatives that require administrative support.
What skills & experience you’ll bring to us
Experience:
* Experience in an office management or administrative role, ideally in a fast-paced, or service-oriented environment.
* Familiarity with the recruitment industry.
* Proven experience organising team events, cultural activities, or client-facing events.
* Experience with a CRM and timesheet system would be advantageous
Skills:
* Ability to multitask and manage various projects simultaneously while maintaining a high level of organisation.
* Excellent verbal and written communication skills, with the ability to liaise effectively with all levels of staff and clients.
* Strong attention to detail in managing schedules, office supplies, budgets, and administrative processes.
* Proactive in identifying operational challenges and finding efficient solutions.
* Highly PC literate & skilled with all Microsoft Office Based applications including: Word/Excel/PowerPoint.
* Experience in managing digital filing systems and databases and handling I.T. support coordination.
* Self-motivated with the ability to work independently.
* Ability to handle sensitive information, especially in HR-related tasks, with complete confidentiality and professionalism.
